Workplace Coordinator – Global Pharmaceutical Client
Location: Macquarie Park, Sydney
Hours: 38 hours/week
Schedule: Monday 10:30am–5:30pm | Tuesday–Thursday 8am–5pm | Friday 10:30am–5:30pm

We’re looking for a proactive and energetic Workplace Coordinator to be the welcoming face of our award-winning workplace. You’ll be part of a close-knit team of four, playing a key role in ensuring every colleague and visitor enjoys a seamless, positive experience. This is a fast-paced, multi-faceted role where curiosity, innovation, and integrity are part of our everyday values.
Key Responsibilities:
- Greet and check in colleagues and visitors, verifying government IDs for security compliance.
- Provide AV setup and administrative support for workplace events such as town halls and meetings.
- Answer incoming calls with professionalism and efficiency.
- Manage meeting rooms: monitor bookings, liaise with organisers, coordinate furniture setups, and support catering needs.
- Oversee mailroom operations: assist with logging and dispatching parcels and incoming mail.
- Conduct regular stocktakes of office supplies and communicate replenishment needs.
- Induct and escort maintenance contractors on-site as needed.
- Act as the daily point of contact for cleaning contractors, including routine walk-throughs and checks.
About You:
- Previous experience in a similar role or industry.
- Strong background in front-of-house services and facilities support (e.g., site walks, phone handling, inductions, stocktakes, EHS checks).
- Friendly, approachable, and customer-focused with a proven ability to build strong relationships.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- A proactive mindset with a willingness to learn and be coached.
- Basic computer literacy.
