Sodexo is looking for an admin superstar to join our workforce scheduling team at our Balcatta Support Centre. Reporting into the Workforce Scheduling Lead, this position is responsible for effectively sourcing labour from our contingency and agency relief pools to meet staffing demands across our WA sites.

About the job

  • Organise and assign shifts to employees from contingent labour pools to cover vacant critical roles, and communicate to site
  • Communicate and seek approval from site management of third-party labour hire requirements, and assign within agreed levels
  • Maintain accurate employee information, (employee records, org levels, shifts, rates, skills, availability, etc.), within workforce management system
  • Set-up and maintain third party labour hire personnel in the workforce management system ensuring ‘clock’ ability from first shift
  • Participate in third-party labour invoice reconciliation process as required and in a timely fashion
  • Monitor site workforce management system compliance and escalate integrity issues where necessary
  • Ensure casuals & third-party labour personnel are holding necessary qualifications and other requirements pertinent to the site
  • Assist in ensuring accurate availability data is maintained on contingent labour pool, escalating non-adherence to schedule
  • Engage Workforce Scheduling Lead ensuring contingent labour pool numbers are maintained inside designated parameters, escalating issues as required
  • Assist with data collection for Human Resources regarding ‘non-attendance’ performance issues of contingent labour pool personnel
  • Assist manager with other duties pertaining to the workforce planning function, (e.g. auditing, reporting, data management of other systems, validation of manual or automated time-card data
  • Build strong working relationships within designated sites to promote collaboration and positive staffing results
  • To be proactive in assisting Project and Operations Managers with staffing requirements.
  • Maintenance of performance feedback database for all relief staff.

About you

You are an experienced administrator with excellent Excel knowledge and are ready to work in a fast paced environment with a great team!

The ideal candidate will have:

  • An excellent knowledge of the Microsoft Office package, particularly Excel
  • Understanding of rostering principals (desirable, but not essential)
  • Relevant experience in same or similar industry
  • Excellent planning & people coordination skills
  • Strong communicator who contributes to good working relationships
  • Organised with effective time management skills
