Job Description

SOCOTEC is looking for a well-organized, self-motivated Office Administrator, for our Boston office.

The Office Administrator will work closely with the Executive team to ensure the smooth operation of our Boston location. This role will create and maintain a healthy work environment ensuring high levels of organizational effectiveness, communication, record-keeping, with a high focus in project support.  Other duties include, but are not limited to overseeing mail, shipping, receiving, billing assistance, handling general office repairs, serving as a liaison to building management and other vendors.

Job Duties

  • General office management and office maintenance including cleaning, pest control, copiers, plotters, etc. 
  • Oversee, manage and coordinate mail, shipping and receiving of sensitive and internal correspondence, mail and packages in a timely fashion (USPS, FedEx, etc.)
  • Assemble project specific application for payment
  • Perform some bookkeeping tasks
  • Monthly invoicing (via email and/or software)
  • Vendor management & coordination, including vendor set-up, vendor billing and vendor agreements
  • A/R collection
  • A/P vendors (invoices approval and project allocation)
  • Check collection
  • Lease with building management and landlord
  • Perform clerical tasks and other relevant duties when needed

Qualifications

  • Minimum of 2 years of office administration and office operations
  • Ability to properly manage and communicate with direct reports and staff
  • Excellent customer service skillset
  • Proficiency in Microsoft Office (Word, PowerPoint and Excel), including Outlook email and calendar
  • Experience in a construction, architecture related office is a big plus but not required
  • Proven ability to multi-task, meet deadlines and complete projects in a timely manner
  • Demonstrate initiative and proactive thinking
