Job Description

As Compliance & Privacy Operations Manager, you will work closely with the Chief Compliance Officer (CCO), Compliance and Privacy Directors, and cross-functional stakeholders to support the planning, execution, and continuous improvement of the annual global compliance and privacy program.

 

This is a hands-on, execution-focused role that blends program operations, project coordination, technology enablement, analytics, monitoring, and administrative and operational support.

The position is hybrid (minimum 2 days office each week and as required) and will be located in either Stockholm or Basel, reporting to Vice President, Chief Compliance Officer.

 

Your impact will include:

  • Supporting the administration, planning and execution of the global compliance and privacy program, including project coordination, data analytics, milestone tracking, KPI reporting, training administration, communications, and meeting support
  • Partnering with Compliance and Privacy colleagues to deliver initiatives such as training and presentation content development, documentation management, audit support, and process improvements
  • Developing and maintaining project plans, dashboards, reports, and other  materials relevant to the department and the global compliance and privacy program
  • Managing the global Compliance & Privacy SharePoint site and documentation repositories, ensuring content is accurate, governed, up-to-date, and accessible
  • Supporting the CCO on various ad hoc process improvement initiatives and projects
  • Evaluating, implementing, and supporting compliance, privacy, and AI-enabled tools; acting as a key point of contact for user enablement and training
  • Develop and manage project plans, timelines, and deliverables using advanced Microsoft Office skills and other project management tools.
  • Budget administration, including accrual planning, contract renewals, and supplier coordination/issue handling.
  • Perform transaction monitoring and risk screening of third parties and provide related training and help‑desk support.

You enjoy improving how things work, are curious about technology and data, and stay focused on delivering practical, high-quality results in a global environment.

Key talents and experience

 

  • Qualification in business, project management, operations, or a related field
  • Minimum 7 years’ experience in project management, operations, or a similar role within a global, cross-cultural organisation
  • Proven experience planning, coordinating, and optimising complex projects and processes
  • Advanced proficiency in Microsoft tools, including Excel (pivot tables, formulas, data cleaning), PowerPoint (executive-level presentations), SharePoint (site and content management), and project management tools (e.g. Planner, Smartsheet, MS Project)
  • Experience building and maintaining dashboards and KPIs using Power BI or similar tools
  • Strong documentation, reporting, and presentation skills with high attention to detail
  • Experience using AI productivity tools for summarisation, automation, or workflow enhancement
  • Demonstrated ability to manage confidential and sensitive information appropriately

 

Preferred

  • Experience in a regulated industry (e.g. healthcare, pharma, financial services)
  • Familiarity with compliance, privacy, risk management, or corporate governance programs
  • Knowledge of compliance or privacy tools (e.g. screening systems, learning management systems, document management platforms)
  • Certification in project management or process improvement
  • Practical experience applying AI tools to improve operational efficiency
