Job Description

In this high- impact role, you will be managing global events and congresses within the RDMA Medical Excellence team, supporting multiple global brand teams in a matrix organization and across Sobi’s portfolio. Day to day work requires many interactions with different internal and external stakeholders and vendors, cross- functional and interdisciplinary teams as well as a strong focus on timelines and details. We are looking for a motivated, experienced and organized team player to strengthen our team.  

Key Responsibilities

Event Management:

  • Professional planning and execution of international congresses and business events, Advisory Board Meetings, internal meetings, etc. (in person, hybrid or virtual)
  • Set up and leading cross- functional planning teams (internal and external stakeholders), drive project management, timelines and decision finding within those teams
  • Lead planning to seamless, compliant execution of events with a strong customer focus and high service level in mind
  • Interact and work closely with multiple internal and external stakeholders, Vendors, Healthcare Organizations and Healthcare Professionals to ensure seamless preparation and execution
  • Budgeting, negotiations, quality control, evaluation, and invoicing of events for which you are responsible, including post- event reconciliation and reporting (TOV)
  • Identify and drive continuous improvements and operational excellence in execution of meetings as well as overall collaborations.

Engagement Management:

  • Draft, review, revise and negotiate a wide variety of contracts including Healthcare Professional Agreements, Vendor Services Agreements, Confidentiality Agreements, etc. in English Language, based on pre-approved legal templates
  • Coordinate every aspect of the contracts process including timely approvals (Healthcare Compliance and Veeva Vault system), drafting and/or reviewing agreements, providing them to the HCPs or vendors for review, implementing comments, collecting signatures, request and mange purchase orders and manage agreements in DocuSign or other archiving systems
  • Independently and accurately track different projects and associated agreements as well as HCPs involved
  • Identify and drive continuous improvements and operational excellence in the contracting processes and HCP management.

Qualifications

Education/Learning Experience/Work Experience

Required:

  • 5+ years of working experience in planning, organizing, and executing business events and conferences, ideally from the pharmaceutical industry
  • Proven understanding of basic Healthcare compliance and contractual principals
  • Strong Project Management and Event management experience in an international environment.

Desired:

  • Experience with Veeva Vault, DocuSign and other systems to manage legal contracts and approvals are beneficial
  • International (Healthcare) Congress and/ or work experience

Skills/Knowledge/Languages

Required:

  • Excellent written and oral communication skills in English, additional languages beneficial
  • Excellent project management skills including negotiation and conflict resolution skills
  • Self-organized and ability to work remotely
  • Team player who can effectively engage with other team members of different departments as well as with external stakeholders and in multi-disciplinary teams
