Job Description

Office Management play a great part in creating the ultimate employee experience. The Office Manager will be the leader of 4 front desk agents and responsible for supporting business leader and manage the head office in Stockholm. You will be a part of a Global Office Management Team and collaborate with the local Office Managers around the world. The Office Manager will interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

Your responsibility areas will cover: 

Empowering the front desk agents in your team – your team will be spread globally, together you create, plan and develop routines and processes for the workflows you own.

Well-being of the office - The well-being of the people at the workplace is core of your responsibility. Being creative to enhance that well-being is highly appreciated. This could be anything from small to big changes to our office environment.

Office appearance – You have eye for detail when it comes to the office appearance. Being creative and hands on is necessary to keep the office space nice and tidy.

Office communications - You regularly communicate with the people in the office through office updates. You are the first point of contact for feedback and build improvements around it.

Supplier management - Office Management works with a great deal of different suppliers. A continuous dialogue on collaboration, price negotiations, development, contracts, etc.

Projects - Office Management has a central role in the organization. You take place in project groups, events and activities that is related to your department especially related to employee experience.

Office administration - You check, approve, and manage invoices. You approve absence forms and expense reports.

Leader support - Assist the Regional Business leader with admin tasks such as booking meetings, handling expenses, booking events, making meal arrangements

Qualifications

  • At least 2 - 3 years of experience in a similar role.
  • Experience as a team manager for at least 1 year
  • Fluent in Swedish as well as English (written/verbally)
  • Ability to organize and structure your work, including the ability prioritize workload and multi-task while maintaining attention to detail and seeing tasks through.
  • Proactive and resourceful in problem solving. Detail-oriented, keen eye for the written word.
  • Ability to handle confidential information with discretion.
  • Computer proficiency: MS Office suite (advanced Outlook, Excel and PowerPoint)
