Job Description

The Temp Admin Assistant/Front desk agent will be responsible for supporting business leaders and office management locally in Sydney. In this role your focus will be handling administrative tasks to ensure a great employee experience and offload the business leaders. The Temp Admin Assistant/Front desk agent will be a part of a Global Office Management Team and have support from other local Office Managers around the world. The Temp Admin Assistant/Front desk agent will interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

This role is a 4,5 month maternity leave contract.

What you’ll be doing

  • Assist the Regional Business leader with admin tasks such as booking meetings, handling expenses, booking events etc.
  • Schedule, coordinate and manage executive-level meetings including coordinating conference rooms, making meal arrangements, creating/reporting meeting agendas, and taking meeting notes.
  • Handles administrative duties and projects by providing research, preparing correspondences and arranging meetings
  • Manage and coordinate travel arrangements and assist in visa applications when required.
  • Point person for maintenance, office leasing, and building management
  • Supplier management - Liaising with agency partners, designers, printers and office suppliers as required.
  • Reception, front-of-house duties and office administration.
  • HR Coordination - Assistance with any HR request together with People & Culture, such as Staff onboarding/Offboarding and Recruitment.
  • Coordinate monthly time reporting with payroll HQ in Sweden and manage leave forms.
  • Check, approve, and manage supplier invoices.
  • Organization of Events (Internal) and coordination of Marketing Collateral, Event Merchandise & Printing
  • Record Keeping, Filing and Archiving
  • Ordering of office supplies, stationery and IT equipment when necessary.

 

Qualifications

YOU NEED TO HAVE:

  • At least 2 - 3 years of related on-the-job experience in a similar function .
  • Exceptional organizational skills, including the ability prioritize workload and multi-task while maintaining attention to detail and seeing tasks through to their completion.
  • Excellent organizational, prioritization, and time management skills. Proactive and resourceful in problem solving. Detail-oriented, keen eye for the written word.
  • Ability to handle confidential information with discretion, diplomacy and a high degree of professionalism.
  • Computer proficiency: adept in PC environment, MS Office suite (advanced PowerPoint, Excel, Outlook (calendaring and email), and Adobe.
