Job Description

Purpose of role:

To lead and coordinate office administration activities that support business operations, including executive support, travel management, event coordination, facilities administration, and stakeholder engagement. The role ensures efficient office operations, effective communication, and a professional working environment that enables business success.

Key Activity:

•Manage day-to-day office administration and ensure smooth office operations.

•Maintain office facilities, equipment, and administrative systems to support business activities.

•Coordinate office maintenance, service providers, and facility-related requirements.

•Manage office supplies, company assets, and administrative procurement activities.

•Develop and implement efficient administrative processes and best practices.

•Provide administrative support to the management team and business leaders.

•Coordinate calendars, meetings, appointments, and business correspondence.

•Prepare reports, presentations, meeting materials, and meeting minutes.

•Support management in executing business priorities and organizational initiatives.

•Manage domestic and international travel requests for employees and management.

•Coordinate flight bookings, hotel accommodations, transportation, visa applications, etc

•Ensure travel arrangements comply with company policies and approved budgets.

•Manage event logistics, venue bookings, catering, accommodations, transportation, and event materials.

•Coordinate agendas, invitations, participant communications, and meeting documentation.

•Support regional leadership visits, customer engagement activities, and corporate events.

•Manage relationships with office service providers, suppliers, and contractors.

•Obtain quotations, process purchase requests, and monitor service performance.

•Support contract administration and vendor documentation management.

•Ensure timely processing of invoices and administrative record

•Maintain accurate records, filing systems, and confidential company documents.

•Ensure compliance with company policies, procedures, and local regulatory requirements.

•Support internal and external audits through effective document management.

•Monitor administrative activities to ensure adherence to governance standards.

•Provide ad hoc administrative and operational support as required by management and business stakeholders.

Key Accountability:

•Ensure smooth and efficient office operations.

•Provide effective administrative and executive support to management.

•Manage business travel arrangements in compliance with company policies.

•Coordinate company events, meetings, and stakeholder engagements.

•Maintain accurate records and ensure administrative compliance.

•Support business needs through continuous improvement and ad hoc assignments.

 

Qualifications

Bachelor’s degree in business administration, Management, or related field.

Minimum 5 years of experience in office administration, executive support, or office management.

Strong organizational, planning, and multitasking skills.

Experience in travel management, event coordination, and vendor management.

Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Excellent communication and interpersonal skills.

Ability to handle confidential information with professionalism and integrity.

Strong problem-solving skills and attention to detail.

Ability to work independently and manage multiple priorities in a fast-paced environment.

Experience supporting senior management and cross-functional stakeholders is preferred
