Job Description
Job Purpose:
As a Service Order Management Sr. Specialist, the role holder will play a role supporting Smiths Detections strategic objectives around Accelerating Growth, Effective Execution and our People, contributing to significant lasting change and overall customer experience.
The primary responsibility of this role is to provide comprehensive, end-to-end support for Global Contracts, ensuring smooth execution from contract creation through to final invoicing. This includes:
- Work closely with Programme Managers, Sales, and Finance teams to ensure smooth Contract and Billing operations.
- Review customer contracts to understand billing terms, pricing structures, and payment schedules and ensure contract data is accurate and aligned with agreed terms.
- Set up and maintain contract details in billing and finance systems.
- Manage recurring, milestone-based, and ad-hoc billing processes and ensure invoices are accurate, compliant, and issued within deadlines.
- Investigate and resolve invoice queries and disputes with internal teams and customers. Correct billing errors and process credit notes where required.
- Maintain audit-ready documentation for all Contract and Invoicing activities.
- Provide Monthly KPI’s and Reports for all Billing Duties.
Generic Duties:
- Creating Master Documentation to support the creation of a Global Service Contract.
- Contract Creation in SAP and Activation in ServiceMax
- Creation and Activation of PM Plans in SVMX
- Dispatching Work Orders to 3rd Parties
- Monitoring Global Contracts to ensure that all KPI’s are achieved
- Interrogation of raw Data to identify and resolve issue in the ServiceMax
- Supporting all Smiths Sites to close Aged Work Orders (PM and CM)
- Complete all Tasks on a Right First-Time basis
- Ad-hoc tasks as required.
Continuous Improvement:
- Work within your Team to ensure KPI’s are met including Invoice Accuracy, Contract Compliance and On Time Billing Compliance.
- Supporting the Service Back Office strategic approach and work together within own workstream to execute the continuous improvement plan (CIP).
- Support system and process enhancements to improve the tools and the quality of the process
Collaboration:
- Attend weekly and monthly Internal meetings
- Share best practices among the Team to improve and drive efficiency
Qualifications
- 5-8 years of experience
- Minimum a bachelor's degree (B.A, B.com, B.B.A, B.C.A, BSC or similar)
- Demonstrable experience in Invoicing, Billing and Reporting
- Strong hands-on working experience with SAP
- High attention to detail and accuracy
- Good Excel / data handling skills
- Strong communication and problem-solving skills
- Highly organised with the ability to manage multiple priorities
- Proactive and solution-focused
- Strong stakeholder management skills
- Ability to work under deadlines and pressure
