Job Opportunity
We have an exciting opportunity for a Project Coordinator to join our Portfolios Programme Management Office (PPMO) team. This role will support project and programme governance across global portfolios, ensuring projects follow the Product Lifecycle Process (PLP) and are delivered in line with established standards and business practices.
Working closely with project managers, programme managers, product managers, and key stakeholders, you will play an important role in supporting reporting, documentation, administration, project controls, and continuous improvement activities across the business.
What You Will Be Doing
- Support project and programme teams in the application of the Product Lifecycle Process (PLP) across global portfolios.
- Assist with project governance activities by monitoring project/programme progress, reporting, milestones, finances, and key deliverables.
- Support global programme reporting cycles, reviews, and communications to ensure timely and accurate reporting.
- Coordinate PLP Gate Review Triage activities and arrange review meetings in accordance with PPMO work instructions.
- Maintain and support the Portfolio of Record (PoR), including project/programme financials, milestones, progress updates, and issue resolution tracking.
- Provide support to Project Offices and Project Controllers/Coordinators throughout the project lifecycle, from initiation through to close-out.
- Manage the PPMO mailbox and ensure stakeholder requests are acknowledged and supported within agreed timelines.
- Coordinate and maintain the PPMO calendar, meeting schedules, invitations, distribution lists, and attendance tracking.
- Complete routine administrative activities including raising purchase requisitions, maintaining registers, preparing meeting materials, capturing meeting minutes, and updating documentation.
- Create and maintain reports, presentations, training materials, and communications to support the PPMO team.
- Maintain document repositories and stakeholder matrices, ensuring information remains accurate and up to date.
- Support continuous improvement and change management initiatives under the guidance of the Technology Programmes Operational Excellence Director and PPMO team.
- Promote the consistent application of standardised project controls and PLP processes across the business.
Qualifications
What You'll Bring
- 2–4 years of experience in a Project Coordinator, PMO, Project Administration, Project Controls, or similar project support role.
- HNC qualification or equivalent in a relevant discipline such as Business, Project Management, Technology, or Engineering.
- Understanding of cost management, data management, and reporting methodologies.
- Awareness of planning methodologies, project controls, and earned value management concepts.
- Strong administrative experience supporting stakeholders at different levels of seniority.
- Good experience with MS SharePoint Lists.
- Strong organisational skills with a focus on completing tasks and delivering results.
- Exposure to project planning, cost control, risk management, and change management within a project environment.
- Awareness of forecasting, estimating, scheduling, and resource management principles.
- Strong verbal and written communication skills with the ability to build effective working relationships.
- Ability to produce clear and concise meeting minutes and project documentation.
- Good analytical and problem-solving skills, with an understanding of how data supports decision-making.
- High attention to detail and the ability to work independently with minimal supervision.
- Ability to work effectively in a multicultural, matrix environment.
- English language proficiency at C1 level (verbal and written).
Nice to Have
- Awareness of data science and business intelligence technologies.
- Exposure to continuous improvement initiatives and change management activities.
- Understanding of product development, including product introduction, enhancement, and sustaining activities.
- Appreciation of complex integrated technology-based sensor systems.
- Knowledge of critical path analysis, risk tracking, corrective action planning, and project reporting practices.
