Job Description

The Departmental Assistant is responsible for assisting the Director of Product Team Operations in office management and departmental administrative functions including prioritizing and organizing departmental needs, communication, and general follow-up. 

ESSENTIAL JOB RESULTS-

  • Be the gatekeeper to the Director of Product Team Operations, and assist with daily printings and fielding questions from the department.
  • Organize and prioritize daily flow of information, sorting printed emails by urgency and category, and filing them into respective folders.
  • Perform administrative support such as approving timecards, and reviewing department expense reports on Concur
  • Ensure adherence to the security policy with reference to employees, guests, visitors, delivery people, etc.
  • Maintain the office condition and cleanliness, and troubleshoot issues with office equipment and arrange necessary repairs.
  • Partner with IT support to resolve hardware, software, and other technical issues that affect the production and design department.
  • Create and maintain departmental documents such as organizational chart, phone list, sample coordinator and product showroom list, parking list, travel calendar, etc.
  • Send out department communication and reminders for upcoming Tradeshows and Buy Meetings

ADDITIONAL RESPONSIBILITIES-

  • Additional responsibilities as needed and assigned by the Director of Product Team Operations and the SVP of Global Product.

EDUCATION AND EXPERIENCE-

  • Bachelor’s degree or higher
  • Experience performing administrate type duties in a corporate environment
  • Two or more years of full-time experience in footwear or apparel industry preferred.
  • Proficient in all Microsoft Office Programs (Outlook, Word, PowerPoint, Excel)
  • Adobe Reader, Concur, Kronos, and FileNet experience preferred
