Job Description

JOB PURPOSE

Provide administrative assistance and support to several managers within our Sales and Marketing Departments.

ESSENTIAL JOB RESULTS

Assist VP/Directors/Manager with the following:

  1. Coordinate and schedule in-person/online meetings for the Domestic Account Marketing/Global Visual Marketing/Sales Support teams. Take and distribute notes/meeting recaps as needed.
  2. Maintain and update Contact Lists for the Departments as well as Corporate and Key Accounts.
  3. Coordinate and submit travel requests for department managers.
  4. Assist managers with SkechForce time management and approvals.
  5. Process expense reports.
  6. Assist with special Marketing/Visual Marketing/Sales Support projects as needed.
  7. Manage communication including emails and phone calls.
  8. Organize and maintain files and databases.
  9. Process employee paperwork.
  10. Outreach to IT for technical support as needed.
  • Assist with records management; preserving, organizing, scanning, updating records, and distributing (where approved and applicable), including but not limited to public network drive, intranet, physical/electronic records, etc. (all according to company information governance policy). 
  • Assist in meeting prep ahead of Account meetings, Sales team meetings, Conference meetings, including scheduling, planning, printing, and special purchasing if needed.
  • Participate in sales conferences, trade shows, and special events, as directed (involves light local travel).
  • Research and assist with special projects and assignments.  
  • Maintain/organize office storage and supplies for the departments.  Assist in maintaining VM conference room and Sales file cabinets.
  • Job function and/or responsibilities are subject to change at the discretion of management with or without prior notification.

Assist Inside Sales team with the following:

Assortment Reports:

  • Run assigned reports daily based on criteria set for that day by Inside Sales Team. Time allotted about 90 minutes daily. This will include all divisions within a month span, including POP.
  • Monthly review and update next season Matrix reports for divisions as requested by Inside Sales Team. 
  •  Run account Open Order Report (OOR) and UPC reports for account as needed. 
  • As needed or as time allows, assist with checking availability on large orders, entering overflow of orders and provide general support to Inside Sales Team.

JOB REQUIREMENTS

  • Exceptional interpersonal, verbal and written communication skills.
  • Outstanding organization and time management skills with the ability to prioritize/coordinate multiple projects simultaneously in a fast-paced environment.
  • Strong attention to detail and deadlines; great follow up skills.
  • Self-starter/motivated, results-orientated, with demonstrated aptitude for problem solving.
  • Professional image and behavior.
  • Able to stand for long periods of time, bend, kneel, use step stool/ladder to reach overhead objects; light lifting/carrying; answer incoming calls.
  • Able to work nights, weekends, and holidays when necessary; light travel required.

 EDUCATION AND EXPERIENCE

  • 3+ years of progressive experience as an administrative assistant or coordinator, including support of management and involvement in concurrent project coordination.
  • Excellent knowledge and application of Microsoft Office (Word/Excel/PowerPoint/Outlook/etc.) is a must with the ability to learn additional/proprietary software/programs.
  • Typing 65+ WPM.
  • Bachelor of Arts degree in business, communication, marketing, or related field preferable.
  • Wholesale footwear/apparel industry experience preferable.
  • Valid driver license and clear driving record.
