Job Description

Provide administrative assistance and business support to the Vice President  of Marketing and Corporate Communications, as well as the Public Relations and Marketing Department.

ESSENTIAL JOB RESULTS

  • Answer phones and handle requests, by answering questions, taking messages, redirecting to appropriate department, etc. Be the gatekeeper for the VP. Handle sensitive information with utmost discretion.
  • Maintain calendar and contacts for VP using Outlook, creating and updating a high volume of frequently changing appointments and meetings, distribution lists, email archives, etc., all in a timely manner, and across all devices including cell phone, lpad, laptop, PC, etc.
  • Write and distribute internal and external correspondence/memos.
  • Organize domestic and international travel for VP, and department members as needed, working closely with internal Travel department.
  • Create and submit expense reports for travel and corporate credit card, accurately and in a timely manner.
  • Organize business dinners and meetings, both domestic and international.
  • Support department leads with event organization and execution as needed as well as select projects.
  • Approve international purchase orders in the Peoplesoft system in a timely manner.
  • Build and develop agenda and schedules for conferences
  • Maintain and organize all Marketing and Corporate Communications files, including but not limited to creating binders, filing systems and distribution lists, at both onsite and remote storage areas. Manage control lists of archives.
  • Build and maintain successful working relationships with internal departments, international partners and vendors.
  • Work closely with outside vendors, buying and receiving goods and services for Marketing projects such as promotional giveaways, printing, etc.
  • During quarterly and annual Earnings, gather, verify and reformat various reports as needed by the VP, in a timely manner. After Earnings, organize and file materials for easy retrieval.

EDUCATION AND EXPERIENCE

  • College degree required.
  • Minimum 5 years Administrative Assistant experience required.
  • Minimum additional 3 years supporting the Vice President level or above, required.
  • Job history preferably in the areas of Fashion, Footwear or Retail.
  • Work experience supporting executive and departmental team preferred, showing success in project management, cost savings, process innovation or other areas.
