Job Description

 

The Human Resources Administrator will assist the Human Resources team in providing various administrative support in functional areas of Human Resources. They will assist with professional HR services such as employee relations, employment engagement, training and supporting the HR/Benefits/Payroll team as needed. Has knowledge of commonly used concepts, practices, and procedures within this field. They will also rely on some instruction and pre-established guidelines to perform functions of the job. Responsible for keeping the HR Manager informed of all corporate activities and employee issues. They must be comfortable in working in a fast pace and deadline driven environment.  They must hold a high level of confidentiality.

ESSENTIAL FUNCTIONS:

  • Perform HR functions as necessary:
    • Assist the HR Manager in providing instructional training to the corporate employees performing HR processes.
    • Assist with processing monthly petty cash process, updating Labor and Law Posters for new retail and corporate locations, research in advance any changes to wage and hour laws that will pertain to Minimum Wage changes and Sick Pay Policies. Provide support for succession planning.
    • Use feedback provided by corporate employees to assist with issues.
    • Assist with employee engagement activities as needed. Blood Drives, Massage Days, Consignments tickets, Sample Sales, Toastmasters, Lunch and Learns, Wellness Initiatives, Birthday Celebrations, Recognition Program etc.
    • Assist in the creation/updating of procedure documentation as needed.  Updating & posting policies and procedures as they relate to Human Resources.
    • Work on staying abreast of all applicable laws, procedures, and pertinent information as it relates to Skechers HR operations.
    • Assist the HR Manager in maintaining all appropriate communication through email and written form to the corporate employees.
    • Perform research, analysis, and/or assist with projects as necessary to ensure HR compliance.
    • Assist with recruiters as needed.
  • Assist in ensuring proper documentation of compliance with department procedures, i.e., maintaining and updating employee personnel.  Maintaining our internal system process with filing into Alchemy.
  • Assist with the review, evaluation, and enhancement of department procedures for maximum effectiveness.
  • Responsible for company Org Charts.
  • Meet and Greet our employees. Assist with Exit Interviews.
  • Ensure the quality and integrity of department analysis and reporting.
  • Ensure continuity of all critical functions, prioritize department workload, and ensure that all internal and external deadlines are met.
  • Ensure proper training of all department personnel involved in HR policies and procedures. (HR Training/Sexual Harassment/LYNDA.COM)
  • Assist the HR Manager in company safety efforts:
    • Attend safety meetings.
    • Assist with analyzing, review and investigate incidents and/or accidents.
    • Assist with correcting safety hazards presented to HR in a timely manner.
    • Prepare and distribute reporting  results and observations of safety activity to HR Directors and VP. 
    • Prepare safety topics for monthly postings and department meetings.  Update our postings in internal intranet.
    • Hold safety meetings with staff as a needed pertaining their respective jobs. 
    • Review and address employee concerns regarding safety.
    • Address observations of employee’s departments violating safety or other procedures with the HR Manager.
  • Ensure department workflow of performance reviews are met:
    • Monthly review process for annual written performance reviews. 
    • Process the monthly changes within the Payroll Dept.
  • HR administrative support:
    • Assist with new hire paperwork. 
    • Completing verification of employment and unemployment claims with state agencies in multiples states.
    • Prepare and distribute engagement related flyers, postings, intranet etc.
  • Assist in addressing any employee conduct or performance issues within Skechers HR guidelines:
    • Report ALL concerns mentioned by staff to HR Manager.
  • Assist the Recruitment Dept in paperless onboarding process.  Evaluates and interviews candidate analyzing qualifications; maintaining eligible applicant pools, making recommendations/referrals to Department.
  • Provide regular and consistent feedback to viable candidates regarding interviews, applications, etc.
  • Prepare employee evaluations as necessary (Introductory period, Annual, etc.) ensuring that all viable information is included, i.e., documentation of late reviews, department safety activity, etc.
  • Assist Manager in scheduling, preparing, and conducting department meetings/trainings as necessary.
  • Resolve issues relating to Onboarding systems as necessary.
  • Assist Department Manager in planning and execution of HR programs.
  • Continue to generate memos/correspondence/reports as dictated by HR Manager.
  • Continue to maintain and update the Skechers Information Boards for all buildings as needed.
  • Perform other general office duties as necessary.
    • Ordering supplies
    • Sorting daily mail 
    • Additional office duties such as answering phones, replenishing supply inventory, water, keeping the conference room in order
    • Assisting with the receptionist functions
    • Scheduling coverage for receptionist when call outs

  • Company customized programs, i.e., KRONOS, ADP, SAS/Successfactors, SmartRecruiters, Alchemy, etc.
  • Data Entry (Alpha and Numeric)
  • Good conceptual knowledge of relational databases

EDUCATION, EXPERIENCE AND REQUIRED SKILLS:

  • BA Degree in Business or related field with the emphasis in Human Resources, Organizational Development preferred or equivalent work experience.
  • 3-5 years of experience in a Human Resources environment a must.
  • Bi-lingual a plus
  • PHR certification a plus
  • PIHRA member a plus
