Job Description

The Executive Assistant is responsible for providing executive-level support to the SVP and VP of Digital, while managing a wide range of administrative tasks to optimize the effectiveness and efficiency of the Digital Innovation Group (DIG).


ESSENTIAL JOB RESULTS

  • Provide executive-level support to the SVP and VP of Digital, including calendar management, expense reporting, travel arrangements, industry research and special projects.
  • Organize and prioritize daily information flow, communication and general follow-up.
  • Collaborate with other Executive Assistants, internal departments and third party vendors respective to all DIG work streams.
  • Anticipate the needs of a busy team and support day to day departmental operations including managing team calendars, projects and workflow to ensure timeliness of meetings and awareness of current priorities.
  • Participate in team meetings, take notes, drive action items, and streamline communication.
  • Manage the DIG contracts database and invoice processing, which includes reviewing for accuracy and obtaining the appropriate approvals in a timely manner.
  • Plan dinners and event logistics for internal teams and vendors.
  • Onboard new team members and work closely with the hiring manager and departments such as HR/Recruiting/IT to ensure proper set up prior to their arrival.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree or higher
  • Experience performing administrative type duties in a corporate environment
  • Proficient in all Microsoft Office programs (Outlook, Word, PowerPoint, Excel)
  • Concur, Kronos, Oracle Peoplesoft and FileNet experience preferred
