Salary:

The hourly wage for this position ranges from $26.65 - $33.35 and varies based on specific responsibilities and geographic location. Starting hourly rate within this range will be determined based on the candidate's experience, qualifications, and/or skillset.

Summary:

The Administrative Assistant plays a critical role in supporting Operations by coordinating and managing key compliance, safety, and administrative functions that contribute to the overall success of the facility. This position assists the Operations Manager with daily activities related to employee safety and regulatory compliance, helping ensure a safe and efficient work environment.

Key responsibilities include coordinating annual hearing tests, lead testing, and fit testing programs, including scheduling, communication with service providers, maintaining employee records, and updating compliance tracking lists. The Administrative Assistant is also responsible for maintaining records related to water reclamation, IEPA requirements, waste management activities, and waste manifests to support environmental compliance efforts.

Additionally, the role administers weekly and monthly safety programs, tracks participation and completion, and helps drive the organization's safety culture through effective communication and recordkeeping. By ensuring timely compliance with safety, environmental, and regulatory requirements, the Administrative Assistant enables operational leaders to focus on production, employee development, and continuous improvement initiatives.

Essential Functions:

  • Schedule: Monday - Friday 7:00AM - 3:00PM or 6:30AM - 2:30PM
  • Open front lobby door at 7:00AM.
  • Handle a variety of communications through email, phone, MS Teams, and face to face accurately and delivered timely.
  • Organize and schedule meetings and appointments.
  • Assist in the preparation and generation of local reports.
  • Carry out administrative duties such as filing, typing, copying, mail, etc.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; and verifying receipt of supplies.  Order supplies as needed.
  • Provide general support to visitors.
  • Handle multiple projects.
  • Handle sensitive information in a confidential manner.
  • Look for and implement ways to improve administrative processes to continuously make them more efficient and effective.
  • Familiar with a variety of the field's concepts, practices, and procedures.
  • Responsible for the planning and coordination of onsite plant events.
  • Any other duties assigned by Plant Manager.

Qualifications

Education:

High School diploma or GED.

Experience:

  • Proficiency in Microsoft Excel and Word
  • General Microsoft Office experience
  • Strong organizational and communication skills
  • Ability to manage multiple priorities and maintain accurate records
  • Previous administrative or operations support experience (preferred)
  • Experience supporting safety, compliance, or manufacturing-related programs (preferred)
