Job Description

Position Summary 

Product Operations is a newly established function at Sibylline designed to streamline communication, coordination, and data flow across the teams that deliver our award‑winning products and services. Acting as the connective tissue between sales and product execution teams, POT ensures collaboration runs smoothly and client needs are met with consistent efficiency, value and speed. 

The Product Operations Manager will quickly build a deep understanding of our products, teams, and workflows, stepping in as a trusted facilitator from day one. You will be responsible for project planning, cross-team coordination, proposal writing, issuing resolutions, driving process improvements, supporting product development, overseeing quality control, and reporting KPIs to senior leadership.

This is a full-time, remote role within the UK. Occasional travel for team gatherings, client meetings, and company events is expected. 

Essential Functions and Responsibilities

  • Manage a portfolio of complex, cross-functional projects, ensuring seamless delivery for clients across geopolitical risk, threat intelligence, embedded staff, training and consulting services 
  • Partner with product and sales teams to shape delivery plans and assure value for clients throughout the project delivery lifecycle 
  • Build clear structures – timelines, ownership, resource allocation – and keep teams aligned and accountable in the face of stress and competing priorities 
  • Anticipate and remove roadblocks, managing escalations with diplomacy and maintaining momentum 
  • Navigate competing priorities with tact, resolving conflicts and guiding stakeholders toward shared outcomes 
  • Strengthen operational excellence by refining project management processes, proposal workflows, and delivery standards 
  • Identify opportunities to leverage AI and automation to streamline workflows, enhance product delivery, and improve operational efficiency 
  • Gather and integrate feedback from clients and internal teams to improve products and services 
  • Track KPIs and translate performance data into insights that inform senior leadership decisions 
  • Contribute flexibly to additional operational or strategic tasks as the needs of the business evolve 

Requirements

  • Bachelor’s degree in a related Sibylline discipline such as geopolitical risk, security, business operations, strategy or governance (advanced degree preferred) 
  • 6+ years’ experience in product operations, project management, or a comparable role – must include bid development, stakeholder coordination, and enabling data-driven decisions 
  • Proven ability to guide teams through operational change, introducing new processes, tools, and ways of working 
  • Proven ability to manage and deliver complex, multistakeholder initiatives across global contexts 
  • Familiarity with project management and data tools (e.g., Monday.com, Asana, Microsoft Project) 
  • Experience of/demonstrated interest in testing the use of AI and automation tools in optimising business operations and workflows 
  • Collaborative by default and able to build trust, foster alignment, and navigate diverse stakeholder needs with ease 
  • Ability to keep teams focused on shared goals 
  • Clear, confident communicator who can translate complex ideas for a range of audience types 
  • Proactive problem-solver with strong critical thinking abilities 
  • Adaptable and resilient in the face of competing priorities and fast-moving global developments
