Job Description

The Office Manager will work as part of the administrative support team of Sia Partners Belgium. Candidate will ensure the smooth running of the office and will carry out following activities:

Office Support

  • Ensure the operational readiness of office equipment and order supplies
  • Manage the fleet of cars, phones, laptop 
  • Follow up contracts with suppliers
  • Carry out day to day office administration tasks (e.g. incoming and outgoing daily mail and couriers, print runs, general supplies)
  • Answer the main telephone line
  • Meet & greet visitors
  • Assist with travel and accommodation booking
  • Coordinate building maintenance
  • Complete administrative aspects of new joiners
  • Support the HR and payroll administration

Accountancy and control support

  • Customer invoicing and recordkeeping of invoices in the accounting system
  • Follow-up customers' payments and reminders
  • Suppliers' invoices follow-up, filing and recordkeeping in the accounting system
  • Expense Sheets' control, filing and recordkeeping in the accounting system
  • Activity report control and follow-up

Commercial support

  • Support to the preparation of customers' offers and RFP
  • Customer calls and customer meetings set-up
  • Follow-up of the commercial activities: update follow-up files and reporting
  • Management of customers' database and update

Qualifications

  • Bachelor or Master Degree in Office Managerment, Communication, Management
  • 0-3 years’ work experience. Young graduates welcome!
  • Fluent in French, Dutch and English
  • Good knowledge of MS Office (Excel, Outlook, Powerpoint, Word)
  • Good presentation and communication skills
  • Good administrative, organizational and time management skills
  • Ability to multitask and work under pressure
  • Flexible, structured, motivated, problem-solver and people-oriented
  • Eye on details, proactive and dynamic
  • Ability to work with figures
