Santen Philippines is growing! We are looking for a dedicated Business Admin & Commercial Support professional to join our Santen PH team. In this role, you will streamline operations by managing sales and administrative workflows, ensuring meticulous documentation and reporting for all commercial transactions.
Job Description
What you will do
Order & Sales Management: Facilitate the end-to-end processing of sales orders, coordinating delivery schedules and documentation between customers and the Global Business (GB) team.
Contract Administration: Prepare and route service agreements, sponsorship contracts for Healthcare Professionals (HCPs), and Principal Approval Forms (PAFs) for product biddings.
Financial Processing: Manage payment requests for commercial activities and fleet billings, ensuring all supporting documents are submitted to Finance within set timelines.
Travel & Guest Relations: Oversee comprehensive travel arrangements (flights, visas, and accommodations) and act as the primary point of contact for office guests and visitors.
Procurement & Vendor Management: Source quotations, process purchase orders, and manage vendor relationships to ensure compliance with Regional Procurement Policies.
Office Operations: Lead daily facility management, including meeting room coordination, housekeeping standards, and overseeing janitorial services and repairs.
Asset & Inventory Control: Maintain fixed asset registries, ensure proper equipment tagging, and manage the procurement and replenishment of office and pantry supplies.
Fleet Support: Assist the Fleet Manager in coordinating with leasing companies and maintaining accurate documentation for corporate vehicles.
Security & Compliance: Monitor office security via CCTV systems, manage access cards, and assist in processing business and office-related permits.
Onboarding & Document Control: Support new hire onboarding by preparing "tools of trade" and maintain a secure filing system for trade letters and sales contracts.

Decision-making: Administrative Assistants have to make independent decisions on a daily basis, addressing the best way to handle specific tasks.
Communications and collaboration: An Administrative Assistant must collaborate with other administrators and support personnel, management and clients on a regular basis.
Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list.
Writing: Spelling, punctuation, sentence structure and writing are essential to an Administrative Assistant, who must be proficient in a variety of styles, from creative to professional to technical to education and more
