Job Description
The Facilities Manager is responsible for managing the end-to-end operations of an R&D office, covering technical services to ensure seamless infrastructure management and workplace efficiency. This role requires expertise in HVAC, electrical systems, UPS, diesel generators, fire safety, and BMS operations, along with soft services. The Facilities Manager will drive compliance, vendor management, cost optimization, and employee experience enhancements while maintaining a high standard of workplace operations
Key Responsibilities
Technical Facilities Management
Ensure 24/7 uptime of critical building utilities, including HVAC, electrical systems, UPS, DGs, transformers, chillers, fire safety systems, and elevators.
Oversee preventive & corrective maintenance for all MEP (Mechanical, Electrical, Plumbing) systems to minimize downtime and extend asset life.
Optimize energy management and sustainability initiatives, identifying cost reduction opportunities.
Supervise Building Management System (BMS) operations to ensure efficient automation and control of utilities.
Work with the IT team to ensure smooth integration of AV systems, network infrastructure, and workplace technology.
Vendor & Service Provider Management
Manage IFM (Integrated Facilities Management) vendors and outsourced service providers for both technical and soft services.
Define SLA/KPIs for facility services, track vendor performance, and conduct periodic service audits.
Facilitate RFPs, contract negotiations, and procurement processes for facility-related services and AMC contracts.
Ensure cost control, quality compliance, and efficient vendor coordination.
Compliance, EHS & Safety
Ensure 100% statutory compliance related to fire safety, electrical safety, environmental laws, and labor regulations.
Conduct periodic safety audits, emergency drills, and risk assessments to maintain workplace safety.
Drive EHS (Environmental, Health & Safety) initiatives, ensuring a safe and compliant work environment.
Workplace & Employee Experience
Identify office refurbishment, space optimization, and facility upgrade projects to enhance employee satisfaction.
Act as the primary escalation point for all facility-related concerns, addressing employee feedback proactively.
Work with HR & other teams to implement well-being initiatives and workplace experience programs.
Budgeting & Cost Optimization
Develop OPEX & CAPEX budgets for facilities operations, ensuring cost efficiency.
Identify opportunities for cost savings without compromising service quality.
Track and report monthly expense trends, vendor costs, and utility consumption.
Team & Stakeholder Management
Lead and mentor on-site facility teams, including technical staff, housekeeping, and vendor personnel.
Collaborate with IT, HR, Security, Finance, and Leadership to align facility operations with business goals.
Provide regular reports and updates to senior management on facility performance, risks, and key initiatives.
Qualifications
Education
- Bachelor's degree in Engineering (Mechanical, Electrical, or related field) preferred.
- Certifications in Facilities Management, Energy Management, or Safety Compliance are an advantage.
Experience
- 10+ years in Facilities Management, Operations, or Workplace Services in IT/ITES/R&D environments.
- Strong experience in MEP, HVAC, electrical systems, fire safety, and BMS operations.
- Proven track record in managing end to end employee services.
- Experience in vendor management, contract negotiations, and cost control.
Key Skills
- Strong problem-solving, and stakeholder management skills.
- Expertise in technical facility management, soft services, and workplace optimization.
- Knowledge of EHS, statutory compliance, and risk management.
- Ability to handle multiple sites and work under pressure.
