Job Description
We are seeking an organized and efficient Administrator 1, Contracts to join our team in Batu Kawan, Malaysia. As Administrator 1, you will assist with the day-to-day administration of the SEA legal team’s operations, managing the administrative aspects of the department’s portfolio. In this role, you will maintain the tools, systems, and processes required for the role. You will partner with the legal counsels on your team and stakeholders inside and outside of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide general contract administration support including reviewing contract requests
- Support contract management processes, including using and managing internal contract management tools.
- Administration of legal documentation submission through the ticketing system.
- Manage end-to-end administrative contract management tasks by maintaining internal contract management tools.
- Perform post-contract execution administrative, management, and tracking tasks.
- Schedule and coordinate meetings for the team, including internal and external appointments.
- Prepare all required meeting documentation and assist in documenting meeting minutes.
- Manage all aspects of travel itineraries, planning, bookings/ reservations, and transportation.
- Prepare and manage budget submission processes utilizing internal system(s).
- Assist in all team claims submission and reconcile expenses, ensuring accuracy and compliance with company policies.
- Liaising with external service providers on the execution of legal engagement letters, billings administration, and other legal documentation.
- Manage all courier and administrative documentation (including filing – both physical and digital).
- Managing and maintaining audit-ready contract records and documents through internal tools and systems.
- Carry out any searches (contract or regulatory) in internal or external databases.
- Work closely with contract managers and legal counsels across different legal functions.
- Perform any other ad hoc duties as may be assigned from time to time.
Qualifications
REQUIRED:
- Minimum 3 years of relevant working experience in a professional office environment.
- Minimum tertiary level education qualification.
SKILLS:
- Excellent command of English, in both written and verbal communications.
- Advanced Microsoft Office Suite (Word, Excel, PowerPoint) skills.
- Strong interpersonal skills and ability to communicate at all levels.
- Ability to work and learn independently.
- Ability to take initiative and prioritize workload.
- Attentive to details and strong multi-tasking skills.
- Experienced with enterprise systems.
- Strong compliance with policies and processes whilst maintaining confidentiality.
- Familiarity with data entry and record-keeping practices.
- Experience working with a legal firm or in-house legal team would be advantageous but not compulsory.
