Since 1976, St. Joseph Center has been meeting the needs of low-income and homeless individuals and families in Venice and throughout Los Angeles County.  The Center is a 501(c)(3) nonprofit community organization that assists people without regard for religious affiliation or lack thereof through 20+ programs in four pillars of service: Outreach and Engagement, Housing Services, Mental Health, and Education and Vocational Training.  St. Joseph Center serves more than 10,000 people each year. 

Brief Description of Principal Activities

Multifaceted intervention, prevention, mental health, and housing assistance is offered through street outreach and 9 service sites throughout Los Angeles County. St. Joseph Center also provides on-site services at five permanent supportive housing developments, and will provide services at an additional six more sites in the coming year.  St. Joseph Center’s total holistic approach to services provide our clients with the help they need to regain their stability.

Job Description

Summary - The Executive Manager works as a team member with several social service professionals and paraprofessional staff performing administrative duties and provides support to the Chief Executive Officer.

  1. Serve as the primary point of contact and liaison for the CEO's office, managing all incoming communication, scheduling requests, and inquiries with professionalism and discretion.
  2. Act as the primary liaison between the CEO and the board of directors, facilitating communication, coordinating meetings, and providing support for board-related activities, such as scheduling board meetings, preparing agendas, distributing materials, and recording minutes
  3. Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements, while prioritizing conflicting demands and ensuring efficient use of time.
  4. Anticipate the CEO's needs and proactively identify opportunities to streamline workflow, optimize productivity, and support decision-making processes.
  5. Prepare and distribute agendas, briefing materials, and other relevant documents for meetings attended by the CEO, ensuring timely dissemination and adherence to deadlines.
  6. Attend meetings with the CEO as necessary, taking detailed notes, tracking action items, and following up on outstanding tasks to facilitate effective communication and follow-through.
  7. Coordinate internal and external events hosted or attended by the CEO, including board meetings, conferences, speaking engagements, and corporate functions, handling logistics, invitations, and RSVPs.
  8. Collaborate with relevant stakeholders to plan and execute special projects and initiatives on behalf of the CEO's office, ensuring alignment with organizational goals and priorities.
  9. Oversee the CEO's correspondence and communications, drafting, editing, and proofreading written materials such as speeches, presentations, reports, and memos as needed.
  10. Maintain confidentiality and discretion in handling sensitive information, exercising sound judgment and integrity in all interactions on behalf of the CEO and the organization

Qualifications

Education & Experience

  • Two years of managerial or supervisory experience.
  • 1 year of project management experience.
  • High school diploma or general education degree (GED) required.
  • Bachelor's degree in business management or similar field from a four-year university preferred.

Other Qualifications

  • Possesses a valid driver's license and state-required auto insurance.
  • Required to travel extensively (> 50% of the time).
  • Ability to work with minimal supervision.
  • Spanish/ English bilingual preferred.
  • Ability to handle confidential information. 
  • Maintains patient privacy, including protecting the confidentiality, safeguarding the integrity and availability, and limiting the use and disclosure of Protected Health Information (PHI) to authorized individuals and entities.
  • Participates in, conducts, and sustains performance quality improvement activities according to designated role and responsibilities.
  • Sensitivity to service population’s cultural and socioeconomic characteristics.
  • Excellent verbal and written communication skills.
  • Punctual and dependable attendance.
  • Free from alcohol and drug abuse.
  • Understands SJC’s basic philosophy and participates fully in carrying out its mission.

English Language Skills

  • Ability to read and comprehend simple instructions and short correspondence.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations.

Mathematical Skills

  • Ability to work with mathematical concepts such as probability and statistical inference.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

  • Must have advanced knowledge proficiency of computer programs in a Windows environment, including Word, Excel, and E-mail.

Additional Information

Status: Full-Time/Exempt 

Salary: $69,000 - 73,500/yr
