Job Description

  • Answer and put through incoming calls, handle and register incoming mails/emails and faxes, connect outgoing calls and send faxes when needed, as well as welcome and register visitors and maintain the telephone list, based on work instructions and requests
  • Receive questions, requests and orders from internal clients, dispatch the order, based on work instructions and guidelines from supervisor
  • Provide internal clients information on (progress of) facility and support related subjects
  • Welcome visitors and guests, provide coffee/tea, photocopy, bind and archive of documents, carry out elementary administrative tasks (register of receipts, invoices and log keeping) based on work instructions
  • Book and record bookings for meeting rooms, (support in) set up of meeting rooms and office functions and move furniture in the office, based on directions of users and guidelines on usage of equipment
  • Record and distribute stock as required, ensure adequate supply of stationary and take care of all incoming and outgoing mail and collect deliveries, based on work instructions and from approved stationary suppliers
  • Manage filing storage and security of documents
  • Organise the office library and library administration based on work instructions

Petty cash Management and payments preparation for Central office

  • Manage the petty cash for Vientiane Office
  • Receive invoices and prepare payment for Central Office, which/who not belong to any sectors.
  • Receive and prepare payment internet, telephone, mobile phone, water supply, electricity, garbage service bills

Admin tasks:

  • Manage the office Vientiane Keys
  • Provide car taxi arrangement in Vientiane
  • Procurement for Central Office, which/who is not belong to any sectors.
  • Purchase of stationaries, tea coffee and toiletries, toners, etc.
  • Maintain and update the suppliers list
  • Coordinate outsource of printing books and small amount of photo copy for Central office
  • Prepare Lease Agreement and payment.
  • Provide support for finding housing for expat staff and accommodation for staff, visitors and consultants for SNV

Direct supervision to Driver, Security Guard, Gardener and Cleaner in Vientiane Office

  • Provide daily supervision of driver, security guard, gardener and cleaner in Vientiane Office
  • Write time of security guard, cleaners, gardeners, drivers (temporary or part time) and other positions who have no access to email and SNV systems

Other supports when necessary

  • Support the HR & Operations Manager in recruitment and Selection, including arranging appointments for interviews and interview schedule;
  • Manage health insurance claims and prepare insurance premium payments of SNV staff when required.

Qualifications

  • Bachelor Degree of Art or Administration or related field.
  • Fluent in English and Lao
  • Experience using Word, Excel and Microsoft Outlook
  • Excellent communication skills
  • Strong service orientation towards visitors and colleagues
  • Knowledgeable an office security and safety matters

Additional Information

Reporting: The Office Assistant reports to HR & Operations Manager and works in close collaboration with operations team, including IT support Officer, Operations Assistant, Procurement/Logistic Officer and Finance team.
