Job Description

Are you really cutting with water? This is a common question we get when people learn about waterjet cutting. Most people don’t believe the technology until they see it. And that’s why showcasing our technology live at tradeshows is a big deal for us. This position is responsible for our U.S. and Canadian tradeshows. In a given year, we may exhibit at 10+ tradeshows, alongside many other innovators in the manufacturing industry. We’re talking large scale events. Think: 20x30 to 50x100 booths with one to three waterjet systems in the booth performing live waterjet demos and cutting parts continuously throughout each show.

The Tradeshow Manager is responsible for overseeing and managing all business activities related to Flow’s North American tradeshows, including but not limited to securing booth space, booth design, layout, cost estimates, shipping and logistical coordination, staffing, hotel arrangements, installation and dismantle, and acting as primary show contact. With large machinery on-site, there’s also machine install, electrical coordination, and plumbing considerations to be executed with the support of our technical services team.

You will also be responsible for generating and managing the tradeshow budget, working closely with Finance to reconcile each show’s budget.

You won’t do it all on your own, though. Under the direction of the Senior Marketing Director, you will work closely with internal stakeholders, outside partners, and event vendors to ensure successful execution.

Major Duties & Responsibilities

  • Own end-to-end project management and execution of all North America tradeshows.
  • Work together with marketing, sales, product management, and project management to develop annual tradeshow plan and budget; make recommendations for which shows to exhibit at, what size booths to secure, which systems/products to bring, and appropriate budgets.
  • Maintain thorough and accurate records of spending throughout the fiscal year, work with the finance team to reconcile tradeshow budgets, and provide future tradeshow budget estimates.
  • Manage tradeshow timelines, event logistics, partner contracts, booth production timelines, vendor timelines, and creative deliverables.
  • Organize staffing, registration, and lodging for all tradeshow participants; communicating well in advance with the team so all participants can plan accordingly.
  • Create and own the tradeshow calendar, updating as necessary and communicating to all stakeholders as well as global marketing team.
  • Attend and actively participate in all major shows in the following capacity: onsite management of installation and teardown of booth structure, equipment, and any additional pieces as well as remaining onsite and available during show hours, acting as marketing point-person.
  • Create and distribute post-show analysis for each tradeshow; evaluate ROI.
  • Responsible for the design and purchase of booths, banners, and other promotional materials needed for tradeshows. Maintain adequate inventory of brochures, product sheets, swag, etc. for each tradeshow.
  • Work with internal team to ensure inventory of key tradeshow parts are replenished after each show and that tools and equipment used for install and teardown are always stocked.
  • Maintain year-over-year tradeshow analysis to help inform future tradeshow plans and decisions.
  • Help plan and manage internal sales meeting as well as open houses for our prospective customers.
