Job Description

This is intended as an entry level position for an individual seeking to develop the requisites skills and experience to assume the role of a Project Manager.

General Purpose:

Professionally manage customer orders for system level projects in a manner that achieves the Project Management Department’s objectives, Flow International’s business goals, and customer loyalty.  Directly supports Sr. Project Managers with the fulfilment of the Book-To-Cash Business Process, as well as process transformations to improve the efficiency and effectiveness of that process.  This is an entry level position.

Major Duties and Responsibilities:

·         Assist Sr. Project Managers as required to ensure the on time, on scope, and on budget execution of the project.

·         Process new customer system orders to initiate the Book-to-Cash progression.  Responsible for project set up and order entry integrity, ensuring that all performance, accuracy, and turnaround times are met. 

·         Maintain all data entry fields within the ERP system (currently AX Project Module), including customer information, project status, product information, item requirements, sales orders, shipping requirements, budgets, forecast, schedules, etc.

·         Maintain all visual project schedule, stage, or exception boards, charts, graphs, or spreadsheets used by Project Management for quick, graphical, reference to the current project status of all open projects.

·         Develop and maintain a library of standardized customer communication email templates, phone scripts, scheduling calendars, pre-installation packages, customer readiness documents, and customer acceptance forms for use by Project Management.

·         Assists the Project Manager with installation scheduling.

·         Complete all relevant process steps required to close a project following installation completion and final payment, including the posting a of Project Variance Report.

·         Support Book-To-Cash Business Process transformations, initiatives, etc. and take independent actions to reduce lead time and variation in the process.

·         Strictly comply with all defined ISO, SOX, and other regulatory and process control requirements.

·         Ensure accuracy in all data entry and other work produced.

·         Provides full back up to the Project Manager when out of the office or unavailable, including customer communication.

Qualifications

Knowledge, Skills and Abilities:

·         Requires action-oriented individual with keen attention to detail, and capable of working effectively with a diverse group of teams to ensure that objectives are supported.

·         High level of analytical ability where problems are complex.

·         Positive attitude, service-oriented, customer-centric.

·         Exceptional interpersonal skills to work effectively with peers, internal customers, and external customers.

·         Strong oral and written communication skills.

·         High proficiency with PC using ERP system, Windows, PowerPoint, Excel, Word.

·         Demonstrated ability to effectively manage projects utilizing exceptional organizational skills.

·         Capable of supporting multiple projects, tasks, schedules, deadlines, and escalations concurrently.

·         Basic knowledge of mechanical systems.

Education and/or Training:

·         AA in applicable areas or equivalent of experience and training that provides required knowledge, skills, and abilities.

·         Proficient with computer applications and tools as noted.

Experience:

·         Minimum 2 years’ experience in a relevant business environment.
