Purpose of the position

Execute, validate, and control with precision all processes related to personnel administration and payroll preparation, ensuring regulatory compliance, data integrity, and contributing to error-free execution by the external provider (ADP). This role is key to meeting payment cycles, ensuring contractual legality, and enhancing the employee experience.

Key Responsibilities:

  • Timely collect, validate, and update new-hire information (onboarding, offboarding, contractual changes, leaves, absences, disabilities, vacations, shifts, etc.).

  • Prepare payroll files according to the guidelines of the external provider (ADP), ensuring their quality and accuracy.

  • Execute pre- and post-payroll processing controls: salary variations, duplication, retroactive payments, and incorrect payments.

  • Digitally manage employee files (contract, certificates, authorizations, forms, contractual changes, etc.).

  • Support internal and external audits by providing data and reports related to payroll and personnel administration.

  • Collaborate with other analysts and with HR Operations in each country on processes related to employee lifecycle events (promotions, relocations, sanctions, terminations).

  • Consolidate reports for key process indicators such as payroll accuracy, response times, calendar compliance, etc.

  • Assist with year-end activities and processes, such as tax receipt audits, and work with HR Operations in each country to ensure a successful year-end closing.

  • Partner with the Payroll Compliance CoE to ensure that the processing and completion of all payroll data comply with SGS policies and procedures and regulatory requirements.

Qualifications

Education

  • Studies in administration, human management, labor relations, or related fields. Complementary training in labor regulations and human resources information systems is desirable.

Professional Experience

  • Minimum 2 years in operational roles in payroll or personnel administration.

  • Previous experience working with BPO providers (preferably ADP) and using platforms such as Workday, SAP, Meta4, or equivalent.

  • Solid knowledge of computer applications: Microsoft Excel, Microsoft Word, Adobe Acrobat.

  • Knowledge of employee data administration and integral processes.

  • Demonstrated ability to work in a team and strong interpersonal skills.

  • Attention to detail and deadlines; ability to manage multiple priorities.

  • Verbal and written communication skills in Portuguese is highly desirable.
