Job Description

MAIN PURPOSE OF THE JOB

Perform administrative duties to support the maintenance of the quality management system.

RESPONISIBILITIES

General

  • Ensure adherence to Standard Operating procedures
  • Ensure adherence to company Code of Ethics
  • Ensure all duties are performed in accordance with accepted service delivery standards.
  • Maintain quality, efficiency and confidentiality of service.
  • Liaise with and assist Quality Manager
  • Perform any other reasonable tasks as assigned by direct line manager.

Quality System

  • Support the Quality Manager with administrative tasks required for the maintenance and implementation of the quality management system
  • Periodic maintenance / verification of equipment
  • Updating of electronic records on SharePoint
  • Updating of quality control charts
  • Environmental monitoring
  • Training / refresher training of staff on quality procedures
  • Generation of system reports
  • Adhere to all quality requirements of the SGS management system
  • Report deviations and communicate instructions to improve and maintain the quality system.
  • Conduct internal audits on the management system
  • Compile data for management review

Health & Safety System

  • Adhere to all safety requirements of the SGS management system.
  • Actively participate in safety related activities
  • Always wear appropriate protective clothing
  • Adhere to all relevant Health & Safety procedures and protocols
  • Keep workplace and equipment neat and tidy

SPECIFIC AUTHORITIES

  • Cease the use of any equipment that may be deemed to constitute a safety hazard or entry to hazardous environments without the necessary knowledge and protection, and report the situation to higher authority to take action.
  • Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to take action.
  •  
  • Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.
  • Other specific authorities as indicated on the Agri Food Laboratory Designated Staff List

Qualifications

​​​​​​Education

  • National Diploma or equivalent
  • Language: Proficiency in English and Afrikaans (Read, write, speak)
  • Computer literacy in Word, Excel, Outlook (intermediate level)

Experience

  • Administrative experience will be an advantage.
  • Knowledge of ISO 17025:2017 will be an advantage
