Job Description

MAIN PURPOSE OF THE JOB

General administration within SGS NviroCrop, especially related to chemical and soil mapping.

RESPONSIBILITIES

  • Obtaining order forms from new clients once scheduling is received and relaying to contractors when work can commence.
  • Requesting the opening of new clients in BOSS
  • Requesting the opening of orders in BOSS and relaying order numbers to the lab
  • Follow up the progress of Chemical and Soil mapping fieldwork scheduled on a weekly basis (Make sure that all data is received for work scheduled)
  • Receiving of Chemical mapping GPS data from contractors, the checking thereof and handle data related enquiries.
  • Co-ordinating the sending of samples from remote areas and from the office to the lab and following up on a regular basis that samples were received by the lab.
  • Sending details of Chemical soil samples, analysis and clients’ info to the lab.
  • Handling of queries from the lab regarding chemical mapping samples.
  • Handling of queries from the contractors / Agriculturalists regarding chemical mapping and related admin.
  • Send combined GPS data and lab results to GIS and Agriculturalists for further processing and recommendations.
  • Completing the Chemical and Soil Mapping sections of the Business Info Worksheet.
  • Weekly fieldwork report on Chemical and Soil Mapping to Management
  • Arrangements for Nampo and other marketing related tasks.
  • Other divisional tasks as requested.

Key Performance Indicators:

  • Work must be done systematically and with the highest level of accuracy.
  • Turn-around time of receiving, checking and sending out data is of the utmost importance.
  • All queries to contractors and the lab must be done in a professional and friendly manner.
  • Adhere to all quality and safety requirements of the SGS management system.
  • Perform any other reasonable tasks as assigned by direct line manager.

SPECIFIC AUTHORITIES

  • Cease the use of any equipment that may be deemed to constitute a safety hazard or enter hazardous environments without the necessary knowledge and protection and report the situation to higher authority to take action.
  • Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to take action.
  • Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.
  • Any person has the right to refuse to perform work that may damage the environment in an imminent and serious way and to report such a situation.

Qualifications

Education

  • National Senior Certificate with Mathematics and Physical Science.
  • Computer literacy in Excel, Word and Outlook
  • Formal administrative or financial back round preferable.

Experience

  • At least 5 years’ experience in administration or finance. Preferably in the Agricultural sector. (Working with farmers)

  • Excellent telephone etiquette
  • Good interpersonal skills
  • Must be able to work systematically and under pressure.
  • Must be able to solve problems and queries independently.
  • English and Afrikaans (Read, write and speak)
  • Driver’s license
