1. Main Responsibilities and Tasks:
- Provides administrative support for day-to-day Human Resources operations and industrial relations.
- Responsible for operational and technical Human Resources duties, including employment application tracking, computer entry, and file maintenance, assisting employees with staff and administrative assistance
- Onboarding and new hire orientation.
- Maintain confidential personnel files, personnel actions, and preparation of job postings and computerized employee data information.
- Preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines.
- Ensure strict confidentiality of staff, and company information.
- Perform exceptional customer service by answering employee requests and questions courteously and professionally.
- Collaborate with leadership to ensure site success, personnel needs are met, and employee engagement efforts are maintained.
- Process payroll and benefit changes within the required timeframe, whenever required
- Instruct employees on how to make necessary changes in the HRIS system.
- Complete all employment checklist within the standards of company
- Processes third parties' invoices for payment and maintains records
- Ensures HR team is properly supplied with office materials and monitor's inventory.
- Process and maintain Human Resources Data base, both physical and digitalized
- Assist in driving performance evaluations process
- Assist with training development, scheduling, and maintaining training files according to the need
- Submit the background checks for new hires and complete terminations process checklists
- Assist with Medical System controls
- Assist with projects as needed
- Manager User Access and permissions on HRIS
- Perform all other related duties as assigned or requested.
2. Health and Safety:

- Ensure all team under your supervision is working in accordance with ISO standards and requirements (9001, 27001, 14001 and 45001).
- Report all hazards, near misses and incidents.
- Always wear relevant PPE and comply with health and safety regulations.
- Participate in monthly safety talk with team members.
- Ensure that all waste produced by SGS is disposed of in an environmentally sustainable manner.
- Optimize resources in order to protect the environment.
Habilitações
3. Education and Competencies:
- Degree in Human resource, Business Administration, Law, Organizational Psychology, Public Administration or other related area
- 3+ years of office/clerical support experience including Document Management
- Training for trainer course will be advantage
- ISO 9001:2015 internal auditor training is a plus
- Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
- Must be punctual, and reliable.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Forward looking thinker, who actively seeks opportunities and proposes solutions.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat.

- Must be professional in demeanor, dress, and presentation.
