1.MAIN PURPOSE OF THE JOB

The main purpose of this position is to maintain solid and professional administrative assistance to SGS Mozambique and SGS MCNet Managing Director (MD) by providing an effective and efficient support. The incumbent of this role should make sure that all MD administrative matters are well managed. Interacting closely with management team members and perform any other reasonable tasks as assigned by direct line manager with strictly private and confidential behavior and full adherence to the local legislation and group policies and procedures.

2. KEY RESPONSABILITIES

  • Provide a comprehensive secretarial and administration service to the MD.
  • Develop, maintain and review administration systems to achieve maximum efficiency.
  • Maintain and organize the MD diary, filing system and all other relevant areas as necessary.
  • support the MD in his projects, proposals, bids, etc. through research, consultation, team-management.
  • Draft speeches, articles, briefings, and project proposals as requested by the MD.
  • Facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also, by arranging, refreshments, seating, and taking minutes.   
  • To responds to MD and other stakeholder queries in a timely and professional manner, both orally and in writing.
  • To co-ordinate all MD and senior management members travel arrangements
  • To compile MD papers and ensure they are sent in good time for meetings.  To circulate reports, minutes, and agendas for management team meetings.
  • To be responsible for receiving enquiries and providing an effective referral service to all MD contacts.
  • To maintain the complaints file and ensure all complaints are responded to within target timescales. 
  • To maintain and continuously keep up to date all MD mailing lists.
  • To ensure the effective management and update of all relevant databases.
  • To liaise positively and professionally with colleagues and visitors.
  • To be amiable, professional, and approachable at all the time.
  • To perform any other duties commensurate with the accountabilities of the post.

4. QUALIFICATIONS

     4.1. Education

  • Degree in Secretarial or Administration.
  • Other relevant areas.                            

     4.2. Experience

  • At least 3 years work experience in similar position.

      4.3. Experience

  • Systematic with strong work organization capability.
  • Strong negotiation and communication skills.
  • Ability to establish and maintain relationships.
  • Good Verbal & Written skills and the ability to communicate at all levels.
  • Good interpersonal skills.
  • Flexible, self-motivated, and enthusiastic.

  • Excellent administration skills including filing and maintaining records.
  • Able to work effectively with minimal management guidance/supervision.

  • Proficiency in Portuguese and English (read, steak, and write).
