Job Description
Reporting to the Managing Director, you will be responsible for:
- Support the MD in order to facilitate and optimize the administrative tasks of his activity.
- Organize, manage, coordinate and monitor all activities of the MD.
- Coordinate and ensure the interface between the SGS employees and partners
- Ensure the follow-up and reporting of cases, then relay the information in the company.
More Specifically, you will:
- Manage the agenda and the daily schedule of the MD (Set up meetings, appointments, manage letters, e-mails and contact lists, book travel and holidays ...).
- Receives and sorts mail to present to the MD only essential information.
- Receive and screen phone calls and physically host appointments.
- Attends and prepares minutes of meetings.
- Prepare and organize the logistics of various professional events (meetings, travel, seminars, trade shows, conference calls...).
- Prepare and control the files necessary for the mission of the MD (documentation, reports, communication media, various notes for meetings and manage expense reports.
- Organizes the sorting and archiving of important documents (collects, processes, classifies and updates information).
- Manage and update professional and regulatory documentation.
- Translation of documents and communication
- Research and creates presentations
- Handle sensitive information in a confidential manner
- Coordinate office procedures, including developing and updating administrative systems to make them more efficient
- Monitor and review invoices and perform basic checks
- Report through regular updates on the progress of his/her work
- Gather and format monitoring elements (dashboards, KPI, reporting...).
- Carry out orders for materials, supplies, consumables and verify the conformity of deliveries.
- Ensure the follow-up of the conditions of execution, a contract, be the punctual support to the administration of sales (customer orders, customer invoices, BL ...).
- Write communication materials (notes, correspondence, reports, minutes...).
- Structure and ensure the transmission of information internally and externally (documents from the various departments of the company or from outside to the departments concerned based on the instructions of the MD).
- Ensure the management and complete follow-up of certain files (negotiations with suppliers, preparation of a budget, customer reminder ...).
- Follow tendering procedures
Qualifications
- A minimum of bachelor’s degree in management, Communication, or equivalent diploma
- At least five (05) years’ experience in a similar position and 02 years with MNC.
- Excellent communication, planning, organization, and project management skills
- Ability to work independently and coordinate multiple activities simultaneously
- Dynamism – Organization – Attention to detail – Resourceful
- Good problem-solving skills.
- Good time management and the ability to work within tight deadlines.
- Ability to collaborate effectively with multidisciplinary and multicultural teams
- Teamwork and Relationship management
- Good command of filing and archiving methods and digitization techniques
- Good command of the Office pack (Outlook, PowerPoint, Excel, Word)
- Good mastery of the use of collaborative and communication tools (internet, messaging, shared planning, web conferencing ...)
- Perfectly bilingual (French and English)
