Job Description

Primary Responsibilities:

In-charge of documentation, consolidation of Quality, Health, Safety, Environment, Energy and carrying out routine clerical support to Safety and Audit (S&A) Team.

Specific Responsibilities

  • Assist S&A Auditors with administrative duties such as updating, filing and transferring of received information into standard reporting / approved documentation formats. Examples are listed but not limited to:
    • Training Database /safe talk, tech – talk, eco-mmunicate, and other training records to account training hours and monitor training compliance.
    • Monthly QHSSE Performance report
    • Consolidation of audit report into database.
    • Other related compliance to OI and NMS reporting.
  • Follow up / track level of accomplishment of action items derived from agreed action plan between Fuel Marking Team.
  • Assist in the creation and revision of the training presentation material.
  • Assist in extraction and monitoring of the Crystal Report (Non-Conformity, Incident Report, Hazard Report) for FM Analytics.
  • Assist in updating of Crystal Risk Assessment
  • Assist in monitoring compliance to KPI based on established goals and objective of Fuel Marking Program.
  • Prepare minutes of the meeting for the S&A and FM monthly coordination meeting and assist on periodic follow up.
  • Maintain coordination with document controller and manage the central documentation of Safety and Audit Team and other QHSEE related documentation.
  • Responsible in coordination of Flights and Hotel management for the Safety and Audit Team.
  • Ensure that the Purchase Requests (PRs) of Safety and Audit Team are lodged in IProc and other administrative tasks related to GBS-Finance.
  • Included in these PR tasks are the lodging in IProc the following:
    • PPE’s
    • Vehicle Request and Hotel Bookings
    • Any other supply that is within the jurisdiction and use of Safety and Audit Team.
  • Coordinate with the procurement service regarding the needs and requests of their respective Regional Operations.
  • Ensure that the delivered supplies or requests are complete and accounted for. With proper documentation and monitoring.
  • Ensure the proper follow up and monitoring of suppliers regarding timeliness of deliveries.
  • Will be responsible with coordinating with GBS-Finance regarding supplier payments in case of any delays.
  • Performs other related duties as may be assigned either in support of departmental goal or for his/her personal or professional training, education or development as programmed by his/her immediate superior.

Qualifications

  • Education: College graduate (preferably of any administrative course).
  • Certification in any Safety and Quality Training is an advantage (Internal or External)
  • Reporting to Makati and Work From Home (Hybrud)
