Job Description

To create a welcoming environment at the branch, with focused attention on customer service and ensuring accurate and timely input of data into the operating system in compliance with the Quality System requirements. Reporting to the Administration Manager

  • Greet customers when they enter the branch.
  • General office administration including operation of telephone system and other supporting duties.
  • Data entry  of worksheets and timesheets. Distribution of Certificates to clients.
  • Raising supplier purchase orders and receipting of goods received.
  • Ensure the integrity and flow of documents that support the Quality System within the workshop and office eg printing of Job Books, initiation of Work Orders, loading of valve details for worksheet preparation, ensuring Workshop Supervisor is supported with data entry where required.
  • Assisting with maintaining the workshop equipment register, gauge calibration & certification.
  • Assist with stocktake.
  • Ensure there is sufficient detail on current workload to enable efficient hand over.

Health and Safety

  • Demonstrate strong commitment to HSE Policies, Procedures and Work Instructions by participating in safety meeting, completing required training, intervening in unsafe situations, refusing unsafe work and complying fully with all applicable laws and regulations related to HSE.
  • Responds appropriately to emergency situations and assist other staff members in maintaining readiness to respond to emergencies within the workplace.
  • In accordance with the HSE Management System requirements, disposes of, or directs the disposal of, waste generated as a part of daily work performed in a safe manner and in compliance with all waste transportation and disposals regulations and requirements.
  • Reports all incidents ( actual incidents and near misses) in accordance with the Incident Reporting requirements.
  • Uses all equipment ( including safety equipment) in the manner intended and reports any damaged / lost equipment to supervisor.
  • Maintains a safe and tidy worksite.
  • Maintains awareness of hazards and proposes controls to supervisor, HSE representative or relevant client/site contact.
  • Actively participates in incident investigations and risk assessments as deemed necessary by management

Profile

  • A minimum of three years experience in a similar role.
  • Polite friendly manner and is able to handle difficult people in a professional manner.

  • An excellent communicator who treats all those they are in contact with, with respect.

  • Required Skills Communication - Ability to communicate effectively ( verbal & written) with fluency in English.
  • Experience with Reception operation  - being the primary responder.

  • Computer literacy - Strong, effective computer skills. Accurate & timely data entry skills.
  • Collaboration - Ability to work effectively and productively with others to reach a common goal or objective.
