Job Description

PRIMARY RESPONSIBILITIES

This position is the subject matter expert in procurement and Account Payable (AP) related functions providing oversight, support and training for the GBS and Canadian operations, ensuring the accurate and timely supply of goods and services to meet the requirements of the operations. The incumbent also oversees the correct and timely payment of vendors providing feedback on the activities of the AP group to the Director of Geochemistry NAM. Also assist in the training of operations management and supervisors on the use of SGS timekeeping system. Must be capable of multi-tasking to meet the operational needs of working with multiple managers and assignments simultaneously.

SPECIFIC RESPONSIBILITIES

  • Oversees the procurement of materials and services for all Geochemistry sites across Canada
  • Is the subject matter expert in activities relating to procurement and AP, providing training and guidance to the GBS and Canadian operations team on related matters
  • Coordinates requisitions for goods and services requested by all Canadian Geochemistry operations
  • Coordinate logistic for goods delivery when required
  • Sourcing of irregular parts and services and requests for vendor quotations
  • Follows all required accounting principles and rules as define by the SGS Finance department.
  • Full compliance to SGS Procurement Policy with respect to the specific purposes and restrictions of Requisition/Purchase Order (PO).
  • Approves all requisitions ensuring financial coding and other details entered by the GBS are correct before being submitted to the appropriate operations manager or delegate for further approval.
  • Ensures that the most cost effective supplies and services are being purchased by each of the operations, providing alternatives to the operations for consideration as appropriate
  • Monitors and updates operations on the status of requisitioned goods and services, flagging delays and other delivery changes
  • Organizes the inventory counts for each site ensuring that required reporting to finance is done in a timely manner
  • Organizes and submits monthly AP accruals
  • Coordinates the reordering of critical goods based on inventory ensuring appropriate levels of necessary supplies are maintained at each site
  • Flags and escalates significant AP related issues to Directory of Geochemistry North America 
  • Researches and develops alternate sources for materials and services as necessary, especially when primary vendors are not capable of meeting operational needs.  
  • Coordinates the receiving of goods with both the local operations and the GBS, ensuring timely receiving of goods in BOSS
  • Ensures goods purchased for specific clients are billed back appropriately
  • Update and maintain approved supplier list per our QMS requirement
  • Provides training to both local operations and the GBS on procurement software as needed
  • Provides training and guidance to management and supervisors on the use of SGS’s time keeping system
  • Provides monthly consumption and cost reports as requested by the Director of Geochemistry
  • Reviews the GL for each operation on a monthly basis flagging irregularities
  • Files and tracks CAPEX requests
  • Arranges travel and accommodation reservations with the assistance of the GBS team as required.
  • Support with Switchboard duties (at some locations).
  • Provides support to the AR and invoicing subject matter expert and acts as the 2IC as required.
  • Opens and reviews Corrective Action/preventive action investigations (CAPA) as necessary and signs off on related reports and corrective actions
  • Is familiar with location of all Quality System information and standard operating procedures and provides materials to personnel in training.  Assists in performance reviews when called on by the Operations Manager
  • Assists in creating a team approach and spirit whenever practical, using available technical resources of knowledge and experience
  • Promotes the capabilities, facilities, personnel and experience of SGS Canada
  • May be assigned and coordinate special or ad hoc projects as needed

Qualifications

  • A minimum of a high school diploma (or equivalent) is required.
  • Minimum of 3 years experience in procurement or Accounts Payable
  • Post Secondary education in a Business related field is an asset.
  • Working knowledge of the Oracle based procurement software and Kronos.
  • Excellent business service consulting skills.
  • Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
  • Candidates must be proficient in using various types of computer software (Word, Excel. PowerPoint & Outlook).
  • Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
  • Candidates must demonstrate excellent verbal and written communication skills including grammar and composition.
  • Ability to work well with others & independently.
  • Proven time management skills and a strong attention to detail.
  • Works well under pressure.
  • Extended hours and shift work may be required from time to time.
  • Travel to other SGS locations or client location may be required from time to time.
