Job Description

For our head office in Antwerp we are currently looking for an Administrative Assistant for the SGS Notified Body 1639 activities.

The main responsibilities will be to support the local (B) group with respect to organize and verify files, create standards files, prepare reports and documents, prepare invoices, and offer general staff support.

As an Administrative Assistant you set up contracts and documents in CertIQ (internal document management system), you ensure the follow up and the filling of contracts. in this role you liaise with stakeholders: clients, consultants & clinical expert. You independently run administrative project: contract gathering and request and summarize KPI’s. You partake in draft document review and clean up and write and distribute email, correspondence memos, letters, faxes and forms. You maintain contact lists and submit and reconcile expense reports. Our new ideal colleague acts as the point of contact for internal and external clients.


A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office. If you also have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we’d like to meet you.

You have proven experience as an Administrative Assistant or Office Admin Assistant with knowledge of office management systems and procedures.You have proficiency in MS Office (MS Word, MS Excel, MS PowerPoint and MS Outlook, in particular)

Furthermore you have excellent time management skills and the ability to prioritize work. You have attention to detail and problem-solving skills and you have excellent written and verbal communication skills and strong organizational skills with the ability to multi-task.

In this role as a Administrative Assistant you are fluent in English and Dutch (any other EU language is an asset)
