Job Description

  • To provide positive, efficient administrative assistance to the Building Compliance team for the Industrial business in Auckland.
  • Ensure prompt, courteous and high-quality customer service when dealing with enquiries and customers internally and externally.
  • Scanning and filing of Building Compliance documentation 
  • Request contractor 12A's and customer authorisation 
  • Respond to customer queries promptly and professional. Resolve queries in a timely manner
  • Schedule and upload work in Formitize database
  • Prepare invoices and provide management with weekly invoicing summaries.  Follow up of unpaid debtors.
  • Maintain travel, training and calibration registers and make relevant bookings to ensure they are current.
  • Raise purchase order requests for the purchasing of office supplies, sub-contractors, equipment and PPE.
  • Ensuring all activities are carried out with regard and recognition to Health and Safety requirements and personal safety.
  • Identify and assist in developing and securing both new business and new business opportunities.
  • Work with the Management team and other Industrial Regulatory offices to provide reports or assistance as required.
  • Undertake all other relevant work requests relevant to your position in accordance with SGS policies and procedures.

  • Demonstrates strong commitment to SGS HSE Policies, Procedures, and Work Instructions by participating in safety meetings, completing required training, intervening in unsafe situations, refusing unsafe work, and complying fully with all applicable laws and regulations related to HSE
  • Responds appropriately to emergency situations and assists other staff members in maintaining readiness to respond to emergencies within the workplace
  • In accordance with the SGS HSE Management System requirements, disposes of, or directs the disposal of, waste generated as a part of daily work performed in a safe manner and in compliance with all waste transportation and disposal regulations and requirements
  • Reports all incidents (actual incidents and near misses) in accordance with the SGS Incident Reporting requirements
  • Uses all equipment (including safety equipment) in the manner intended and reports any damaged / lost equipment to supervisor
  • Maintain a safe and tidy worksite
  • Maintains awareness of hazards and proposes controls to supervisor, HSE Representatives or relevant client / site contact
  • Actively participates in incident investigations and risk assessments as deemed necessary by SGS management

Qualifications

  • Proven experience in previous high volume administration roles
  • A high degree of organization, time management and attention to detail is required
  • The ability to prioritise and meet deadlines
  • Able to demonstrate initiative, be proactive and implement change if necessary
  • Ability to work with others in a team environment
  • Flexible, enthusiastic person with a sense of urgency and well developed customer service skills and experience
  • Excellent interpersonal skills with the ability to work with people at all levels within the business, both local and international
  • Ability to work unsupervised

  • High level of computer literacy in Microsoft Word, Excel and database use
  • Demonstrate initiative, pro-activeness and self-motivation

  • Some experience managing work flow would be an advantage
  • Fluent numeracy and customer service skills
