Job Description

The administrative assistant and front desk agent greets visitors at Rodeo FX, ensures the reception and proper transfer of calls. This person also takes care of other administrative tasks for the facilities and executive team, such as organizing trips, managing access cards and security codes as well as liaising with the housekeeping team.

KEY RESPONSIBILITIES 

  • Greet customers, visitors and redirect them to the desired people (in person and on the phone);
  • Manage trips for Rodeo FX employees (hotel reservations, car rentals, restaurant reservations, etc.);
  • Provide administrative support to the operations and executive team;
  • Manage the cell phone plan, including the revision of invoices and communication with the supplier for any modifications;
  • Manage access cards and security codes, including preparing cards and codes for new employees and making changes (departures, changes of access, etc.);
  • Plan and coordinate all relocations of employee offices;
  • Prepare meetings with customers or for the production team (food, drinks, necessary documents, etc.);
  • Follow-up with the housekeeping team to ensure quality service;
  • Review and distribute requests from the facilities team;
  • Order office supplies;
  • Provide support for special events (5 à 7, end of project, activities for employees, etc.);
  • Manage appointments and meetings of the operations team;
  • Perform all other administrative tasks facilitating the work of the operations team and for the executive team (planning, monitoring, communication, etc.);
  • Produce and update various reports;
  • Write, update, translate, scan and file various documents;
  • Participate in specific projects with the facilities team.

Qualifications

 

QUALIFICATIONS & EXPERIENCE :

  • College degree in Administration or Secretarial Studies an asset;
  • 2 years of experience in customer service;
  • Excellent knowledge of Office and Google Suite;
  • Excellent verbal and written communication skills ; 
  • Perfectly Bilingual (French & English).

Additional Information

  • Full-time availability;
  • Rotation schedule: 8 am – 5 pm ; 9 am – 6 pm.
