We are seeking a highly organised and efficient Manager, Records Management to join our team. In this pivotal role, you will ensure the proper maintenance, storage, and disposal of all corporate records whilst adhering to legal and regulatory requirements.
Your key accountabilities and responsibilities will include: -
- Supporting the implementation and enhancement of policies, procedures standards, systems and controls that align with better practices, ensuring the effective management of electronic and physical records at Rest throughout the record lifecycle.
- Supporting the implementation and maintenance of a records retention and disposal schedule based on legislative and regulatory requirements, business needs and risk appetite.
- Monitoring and measuring activities over the effectiveness of Rest’s records management practices through regular audits, reviews, and evaluations.
- Supporting the enhancement and delivery of training and awareness programs for staff members on records management policies, procedures, and tools.
- Providing advice and guidance to staff members on records management matters.
- Administering and registering records, for example, ensuring appropriate processing of digital records into an EDRMS (Electronic Document and Records Management System).
- Partnering with internal stakeholders, such as Information Security, Data, Compliance, Legal, Risk, Enterprise Security & Safeguarding, and other business teams as required to ensure alignment and synergies of records management controls with other internal frameworks, requirements, and obligations.
- Partnering with external stakeholders, such as the Fund Administrator as required, to ensure appropriate management of Rest records in accordance established policies and standards.
Qualifications
- At least 2 years’ experience supporting enterprise-wide records management programs, including implementing policies and procedures, managing document retention and destruction processes, and overseeing compliance with legal and regulatory requirements.
- Knowledge of industry best practices, emerging trends, frameworks and standards relevant to records management (e.g. AS ISO 15489).
- Experience with relevant technologies and systems, such as electronic document and records management systems (EDRMS) and records management software (RMS).
- Knowledge of legislative and regulatory obligations relevant to records management for a Superannuation Fund.
- Experience supporting organisational change programs to roll out tools and processes in support of a records management program, including the remediation of legacy records.
- Experience in supporting multiple projects and prioritising competing deadlines.
- Experience managing relationships with external service providers, such as records storage and destruction vendors.
- Proficient at drafting high quality papers for Senior Leaders, Executives, Boards and Committees.
- Well-developed influencing skills, with a proven ability to build consensus and drive better outcomes through collaboration with broader business teams.
- Well-developed interpersonal skills coupled with superior oral and proven written communications skills appropriate for Senior Leaders.
