About the Job

The Personal Assistant is responsible for supporting and assisting the GM, Investment Services and Transformation, Rest Investments Transformation teams and will work within the broader Investment support team across the Investments function.

The Rest Investment Services and Transformation team is approximately 40 people within Rest Investments function (approximately 140 people) across Sydney and Melbourne offices. This role will work collaboratively with Rest Administration support teams.

Key Accountabilities/Responsibilities

Administration/Team Support

  • Manage calendar for GM, Investment Services and Transformation
  • Support GM with preparation of papers, reports, spreadsheets, briefing packs and various documentation
  • Manage IS&T team and project meetings including scheduling, booking rooms, setting up agenda, minute taking, organising catering, booking travel and distribution of documents and minutes
  • Manage onboarding and offboarding process for team
  • Support people and culture activities for IS&T – leave tracker, team engagement, culture surveys
  • Process invoices and credit card expenses and where applicable, assist in budget tracking
  • Assist team events e.g. business planning, staff drinks and strategy days for COO group and wider Investments team
  • Support team with compliance and risk deliverables
  • Work with Investment Support team to maintain, improve and/or standardise systems, processes, and procedures

Project Support

  • Provide project support and co-ordination of high-profile investment team projects and deliverables
  • Develop and assist with preparation of presentation materials and briefs
  • Prepare meeting materials, agendas, take meeting notes and track actions
  • Circulation of reminders of outstanding action items, project reports and documentation to the relevant parties and individuals in a timely manner allowing for adherence to deadlines.
  • Process project administration tasks eg Invoices

About You:

Qualifications

  • Proficient use of all Microsoft Office applications, particularly in Word and Outlook
  • Diploma, or equivalent professional experience

Required experience, understanding or credentials including:

  • Have previously worked as a team assistant or office manager role.
  • Preferably has experience in a financial services project environment.
  • Excellent time management skills and ability to manage competing demands under pressure.
  • Exceptional communication skills, both written and verbal.
  • Demonstrated ability to effectively plan, prioritise and organise.
  • Agile and adaptable; able to operate in fast paced environment and adjust to changing priorities.
  • Strong attention to detail.
  • Microsoft Office skills including Teams, One Note, Excel and PowerPoint.
  • Capable numeracy skills including ability to work with financial budgets and forecasts.
  • Self-motivated, responsible, trustworthy and committed.
  • High degree of confidentiality and interpersonal sensitivity.
  • Stakeholder management.
  • Internal and external customer focus.
  • Comfortable and effective in dealing with a broad range of people.
  • Commercial awareness
  • An interest in financial analysis and investing
  • A positive and enthusiastic attitude
