Job Description

Associates primarily are responsible for the following responsibilities.  Other responsibilities and assignments may apply.

Client Account / Project Management

  • Serve as a secondary client contract for multiple accounts.  Experienced Associates may serve as the primary client contact on accounts
  • Meaningfully participate in client meetings / calls, including contributing ideas, eliciting appropriate information through smart questions, taking detailed notes and identifying all action items and deadlines
  • Ensure all deadlines are met by independently creating and prioritizing “to do” lists and by “managing up” to ensure supervisor review materials and provide feedback in a timely manner
  • Participate in conceptualizing and managing events for clients (such as press conferences, trade shows, large internal meetings)
  • Undertake and manage large projects, such as annual presentations (clip book/results) for clients.  Oversee all details, ensuring a quality work product
  • Consistently and proactively updates and strategic thinking to team members on project, including the status of ongoing and deadline-related assignments
  • Work with team to prepare for media training, messaging sessions, and client brainstorms.  More experienced Associates will participate in media training and messaging sessions
  • Take ownership of internal / external vendors (oversee media monitoring services, event planners and designers) to ensure projects are completed in a timely and cost-effective manner
  • Share/elevate important research results/facts from client conversations with the rest of the team, especially Senior Associates, Account Directors and Vice Presidents
  • Provide proactive ideas related to client tasks and upcoming opportunities
  • Prepare invoice justification

Writing / Materials Development

  • Research and draft high-quality client materials that ensure appropriate perspective, tone and style based on assessment of client needs.  Such documents include:
    • Client memos
    • Press releases
    • Presentations / speeches
    • Bylined articles
    • Media alerts
    • Fact sheets
    • Executive bios
    • Award entries
    • Employee newsletter stories
    • Media coverage reports and briefing documents
    • Reporter / media briefing documents
    • Activity reports
    • Research analysis / summary reports
  • Experienced Associates are charged with developing more complex strategic communications, such as:
    • Communication plans
    • New business proposals
    • Messaging documents
      • All materials drafted by professional staff at Reputation Partners must:
        • Be free of spelling / grammar mistakes
        • Use proper word choice
        • Reflect a tone appropriate for the intended audience
        • Be concise
        • Be logically / thoughtfully organized

Media Relations

  • Research and select appropriate reporters and publications / broadcast outlets to target for clients.  
  • Develop and maintain up-to-date media lists
  • Identify and track relevant editorial calendar opportunities and present those opportunities to the account team
  • Apply an understanding of different news cycles and pitch / respond to media inquiries in a timely manner
  • Develop creative, timely news pitches that feature our clients and are tailored to specific publications and reporters
  • Strategically circulate releases and pitches and conduct rigorous follow-up discussions with reporters to garner interview opportunities for our clients
  • Regularly read and study target reporters bylines to understand their style and approach
  • Analyze reporter coverage / backgrounds and develop comprehensive media briefing documents for clients
  • Coordinate media interviews (schedule time, location, etc.).  Experienced Associates will be asked to facilitate media interviews for clients
  • Monitor media coverage of our clients and clients’ competitors daily.  Develop thoughtful client reports that analyze client coverage
  • Maintain an ongoing dialogue with target reporters to ensure we stay on top of opportunities for clients

Research

  • Independently conduct comprehensive and thorough research to support clients and new business development efforts, including but not limited to:
    • Collecting and analyzing historical media coverage of clients / prospects
    • Researching and identifying potential third parties (NGOs, academics, etc.) that may make ideal partners for our clients / prospects
    • Collecting and summarizing historical financial performance of clients / prospects (stock price, dividend, etc.)
  • Effectively use various research channels to collect needed information:
    • Cision / Universal
    • Factiva
    • Lexis-Nexis
    • Google / Yahoo! Finance
  • Demonstrate tenacity and creativity in tracking down needed / relevant information
  • Prepare thoughtful analysis of research by distilling information and summarizing key findings for team members and making appropriate recommendations
    • Analyze research and news for how it applies to our clients’ business and PR objectives
    • Drill down and identify key themes from a large volume of information
  • Locate breaking news immediately on clients, their industries and their competitors using traditional means (Google News Alerts and more direct means (e.g. visiting competitors’ websites regularly and reading industry news daily)

Qualifications

  • Bachelor’s degree in related field plus 1-3 years’ relevant experience (agency experience preferred)
  • Proficiency with Microsoft Office products (Outlook, Word, Excel, PowerPoint, Teams)
  • Ability to multi-task and handle multiple accounts simultaneously
  • Strong written and verbal communication skills
  • Accuracy and timeliness in the execution of assigned tasks
  • Cooperative relationship within the office and with client contacts
  • Ability to schedule work and balance priorities for the efficient flow of work
