Job Description

Rent-A-Christmas is looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and others within the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, handling phone calls, obtaining information, executive assistance and other related tasks as commensurate with an administrative role.

To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others.

You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills.

Administrative Assistant Responsibilities:

  • Supervising and completing day-to-day tasks and function of an administrative nature.
  • Liaising with various team members and customers
  • Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
  • Working with accounting and management team to set budgets, monitor spending, and processing payroll and other expenses.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Overseeing special projects and tracking progress towards company goals.
  • Building new and expanding existing skills by engaging in educational opportunities.
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Greet and assist visitors.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.

    Qualifications

    Administrative Assistant Requirements:

    • Associate’s Degree in business administration, management, or related field is a minimum, Bachelor’s degree or higher preferred.
    • Prior administrative experience.
    • Professional, upbeat and mature demeanor.
    • Attention to detail.
    • Multilingual may be preferred or required.
    • Desire to be proactive and collaborative.
    • Exceptional leadership and time, task, and resource management skills.
    • Strong problem solving, critical thinking, interpersonal, and verbal and written communication skills.
    • Ability to identify when additional resources are needed.
    • Ability to delegate tasks as needed and work with various internal and external vendors.
    • Proficiency with computers, especially MS Office.
    • Ability to plan for and keep track of multiple projects and deadlines.
    • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
    • Willingness to continue building skills through education opportunities.
