Job Description
The Concierge serves as the primary architect of this experience, thoughtfully planning each guest’s stay well in advance of arrival. This role requires the sensibility of classic luxury hospitality: deep attention to detail, intuitive service, and a genuine respect for privacy and tradition. From arrival logistics and dining preferences to bespoke celebrations and meaningful moments, the Concierge ensures that every element feels considered, personal, and effortless.
This position is ideal for hospitality professionals with experience in Relais & Châteaux, Forbes Five-Star, or similarly refined environments who understand that true luxury is quiet, anticipatory, and deeply human.
Essential Functions
Act as the primary liaison for guests following completion of the Reservations process, maintaining a polished and discreet point of contact
Distribute, review, and manage Concierge Forms approximately three weeks prior to arrival
Consult with guests on arrival and departure logistics, including travel via Burlington International Airport, Boston Logan Airport, Granite Air Center (Lebanon, NH), and Manchester Airport (NH)
Arrange private ground transportation through established luxury partners, including Vermont VIP Transportation
Collect and interpret dietary preferences, allergies, and culinary nuances, ensuring seamless communication with the Culinary Team
Pre-arrange guest activities, including privately guided and small-group experiences, tailored to individual interests and seasonality
Coordinate seasonal picnic lunches at select on-property locations
Plan and execute milestone celebrations and intimate events, including anniversaries, birthdays, proposals, and elopements
Manage dining reservations in the Main Dining Room or Twiggs, adhering to seating flow and service standards
Coordinate detailed Housekeeping preferences, including bedding specifications, in-room amenities, and comfort requests
Curate in-room pre-arrival experiences, from reserve wines and specialty beverages to celebratory amenities and bespoke touches
Manage third-party gifting and enhancement requests with discretion and attention to presentation
Arrange select off-property experiences, including private shopping appointments and curated dining reservations with local partners
Conduct comprehensive pre-arrival confirmations at least one week prior to guest arrival, ensuring all departments are aligned
Communicate guest requests outside standard operating procedures and collaborate with leadership to determine feasibility
Provide thoughtful alternatives when guest requests cannot be accommodated, maintaining service excellence
Escalate service concerns or unmet expectations to management to support timely resolution and guest follow-up
Qualifications
- Demonstrates a refined service style rooted in professionalism, discretion, and emotional intelligence
Exceptional organizational and follow-through skills, with the ability to manage complex itineraries and shifting priorities
Strong interpersonal and written communication skills suited to high-expectation guests and cross-departmental teams
Proven ability to anticipate guest needs and personalize service without intrusion
Exercises sound judgment and independent decision-making aligned with luxury service standards and safety protocols
Resourceful, adaptable, and composed in a dynamic, high-touch environment
Values collaboration, tradition, and consistency in service delivery
Flexible and dependable, with availability to work weekends and holidays
Education & Training
High school diploma or equivalent required
Valid driver’s license with a clean driving record
Working Conditions
Combination of focused administrative work and collaborative, guest-driven coordination
Close interaction with Culinary, Housekeeping, Activities, Spa, and Leadership teams
Shifts typically range from 8–9 hours and include weekends and holidays
Occasional schedule flexibility required to support operational needs
Partial hybrid work available for Vermont and New Hampshire residents
