Job Description

We are currently inviting applications for a front office professional with 4*/5* previous hotel experience and proven ability to join our team for a minimum time of one year.

Responsibilities: Dealing with all guest enquiries and needs; the accurate billing of guest accounts; the efficient handling of all correspondence; maintaining good communication with guests and both colleagues and management. The efficient check-in and out of all guests.  The efficient taking of reservations on behalf of the Hotel.

Hours of Work:  8 hours per day: 7.30 – 4.30, 3-11.30, 9-6/10-7/11-8/12-9, five days over seven to include weekends and bank-holidays.

Main Duties:

  1. Punctually attend work with a high standard of personal appearance and uniform.
  2. To be friendly, patient and courteous with guests always
  3. To ensure that all guests are made feel welcome on check in and during their stay

                -               Welcoming guests on arrival and familiarising guests with facilities available in the hotel and offer to help should they have any queries. Ensuring that all guests are accompanied and given a show around of their room while imparting all the hotel information including outlet opening and closing times.

  1. To ensure that the office is running smoothly throughout your shift.

                -               Keeping accurate Arrivals & Departures list.

                -               Answering telephone in a prompt, efficient, friendly manner

               -               Taking and making reservations and ensuring that all back up such as confirmations, taxi transfers, dinner reservations, tee off times, etc., are booked and carried out in an efficient and prompt manner.

  • Communicating with each department regularly - e.g. Accommodation - room changes, chance arrivals, fruit and flower requirements; Restaurant - dinner reservations;

Porters - luggage collection, Maintenance- maintenance problems, to ensure that we offer the best possible service to our guests.

  • Clearing all correspondence – e-mails and letters answered, confirmations, wine lists, function sheets, sending out accounts, menu’s etc.
  • Complete all daily reports

                -               Maintaining an accurate guest billing system throughout shift.  Ensuring that all dockets are posted correctly and that system balances.

                -               To carry out an accurate written and verbal pass-over with next shift leader.

  1. Use initiative while carrying out your duties so that we always provide the best possible product and service to our guests. Always be on the look out for ways to improve our customer’s experience.
  2. Work as a team member in a fashion that is both supportive and considerate toward your colleagues.
  3. Ensure that you record what is required to be recorded for all on the daily ‘Knowledge Report’ which is issued to all departments daily.
  4. Relay any comments or queries to the Duty Manager and General Manager - to minimise guest complaints and to ensure our guests get the best possible attention and care.
  5. Be familiar with fire safety regulations and procedures in the hotel.
  6. Be aware of the security of the hotel always, both in terms of access to the hotel, hotel property and revenue of the hotel.
  7. Attend to any reasonable requests made by Management.

Qualifications

As a member of the front office team, you will be assisting in the day-to-day running of the department which includes taking bookings, checking guests in and out of the hotel, allocates rooms and keys, answers the phone and is the main point of contact of the guests so knowledge and experience in the following areas is essential to be considered.

  • Previous hotel 4*/5* front office experience.
  • Fluent English both oral and written.
  • Experience with Hotsoft is preferred but not essential.,
  • Shares our passion for delivering the highest standard of customer service.
  • Have excellent communication, procedures and administration skills.

This is a full-time position which includes weekends and evening shifts.
