The Role, Simply Put

This is a high-impact, high-trust role at the center of the business.

As Executive Assistant to the CEO, you operate as a strategic partner—bringing order to complexity, sharpening priorities, and enabling the CEO and Executive Leadership Team to perform at their best.

This is not a reactive role. It’s about anticipating needs, guiding outcomes, and elevating how the business operates.

What You’ll Do

  • Own and optimize the CEO’s calendar across internal priorities, Board commitments, and external engagements
  • Act as a key liaison between the CEO and stakeholders, ensuring seamless coordination across both professional and, when required, personal scheduling
  • Manage and prioritize communications—screen, respond, and redirect emails while ensuring timely follow-ups on key actions and deadlines
  • Act as a filter: surface what matters most, reduce noise, and protect the CEO’s focus
  • Anticipate risks, resolve scheduling or operational conflicts, and stay consistently two steps ahead
  • Bring structure and clarity to meetings—prepare materials, track decisions, and ensure strong follow-through
  • Support execution across the Executive Leadership Team by monitoring priorities and outcomes
  • Draft and manage executive-level communications with clarity and precision
  • Handle sensitive matters with a high level of discretion, judgment, and professionalism
  • Contribute to elevating standards and best practices within the Executive Assistant community

Who You Are

  • 7 + years of experience as an Executive Assistant, including at least 3 years supporting C-level executives (ideally a CEO in a publicly traded environment)
  • Exceptional organizational skills and strong attention to detail
  • Proven ability to prioritize independently and exercise sound judgment
  • Excellent communication skills, both written and spoken, in English and French, with the ability to collaborate stakeholders, partners and across teams beyond Quebec
  • A calm, solutions-oriented mindset with a high level of discretion
  • Strong proficiency with office productivity tools, with a proactive approach to leveraging automation and AI to improve workflows and efficiency
  • College or university degree in a related field
