Job Description

The Sr. Executive Assistant provides high level administrative support to the Chief Business Services Officer, Chief Marketing Officer, the Chief Technology Officer, and their teams.  This position is responsible for a wide range of administrative duties including managing calendars, scheduling meetings and travel, preparing communications, creating reports and maintaining databases.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Manages complex calendars and coordinates meetings, occasionally globally and across multiple time zones.
  • Organizes meetings and events including preparing documents, coordinating calendars, reserving meeting rooms, planning meals, and ensuring required technology and supplies are present
  • Arranges travel, accommodations and itineraries and processes related expenses
  • Prepares and coordinates communications including PowerPoint presentations, customer agreements, memos and other miscellaneous correspondence, for both internal and external purposes
  • Create reporting and maintain databases on a regular basis, including financial, operational and customer information.
  • Coordinates logistics for visitor and vendor meetings, including reserving meeting rooms, scheduling tours, planning dinners, and reserving hotel rooms
  • Coordinates the printing and distribution of marketing materials to RWSS and customers

Qualifications

EDUCATION and EXPERIENCE:

  • Associate’s degree (A.A.) or equivalent from two-year College or technical school and minimum of five years related experience/training; or equivalent combination of education and experience.
  • Experience supporting senior organizational leaders in a professional environment, where a high level of confidentiality is necessary

KNOWLEDGE, SKILLS and ABILITIES:

  • Strong administrative skill profile exhibiting a high level of professionalism, attention to detail and the ability to organize work and manage time effectively
  • Excellent interpersonal, written and oral communication including the ability to effectively communicate and interface with all levels of employees, as well as external customers
  • Capable of handling and appropriately prioritizing requests from multiple sources, in a timely manner
  • Resourceful and demonstrates a high level of independence and initiative to resolve issues and take on challenges as they arise
  • Ability to identify the need and make recommendations for process improvements to increase efficiency
  • Demonstrated ability to work with highly confidential material
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, and the ability to learn and become proficient at using other technology tools as required

WORK ENVIRONMENT:

Standard office environment. Flexibility to work longer hours as needed to meet the needs of the company.
