Job Description

Join our team as an Administrative Assistant, where you’ll play a vital role in supporting the Supply Chain leaders in achieving their goals while advancing our company’s objectives. We’re looking for an organized and detail-oriented individual with exceptional communication (strong preference for bilingual in English/Spanish) skills to ensure seamless operations within our Supply Chain department.

Key Responsibilities:

  • Welcome and assist both internal and external clients, manage the visitor log, answer phones, and oversee various administrative tasks including program administration, PPE requirements, and mail/package distribution.
  • Schedule appointments, maintain calendars, and handle communications related to facility tours.
  • Order and maintain office supplies and equipment to ensure smooth day-to-day operations.
  • Collaborate with the Executive Assistant to the Chief Supply Chain Officer in planning and organizing meetings and events.
  • Process vendor invoices and expenses as needed, working closely with leadership.
  • Keep leadership informed of priorities, deadlines, and challenges, and maintain contact databases.
  • Handle sensitive information with discretion, maintaining strict confidentiality.
  • Assist the Administrative Services Team and Supply Chain departments with workload management and special projects.
  • Occasionally manage calendars and coordinate travel arrangements across multiple time zones, including travel between Red Wing Shoe facilities.
  • Occasionally be available during off-hours with advance notice.

Qualifications

High school diploma or equivalent required and minimum two years of related experience in a related area or role.  Associate’s degree or Administrative Professional Certification preferred.

Qualified candidates will have strong knowledge of office management systems and procedures; Proficiency with Microsoft Office products or similar platforms; Excellent administrative skills with a keen attention to detail and ability to manage time effectively; Exceptional interpersonal, written, and oral communication skills; Ability to prioritize and manage requests from multiple sources efficiently; Resourcefulness and initiative in problem-solving; Ability to handle highly confidential material with discretion. Previous experience in a customer service role is preferred; Bilingual in English/Spanish and holding a notary license is a plus.
