Job Description
Red Gate is seeking a Business Travel Coordinator to support its Enterprise Program Management Office (EPMO). The Business Travel Coordinator is responsible for sourcing, organizing, booking, tracking, and handling travel requests for designated project staff, corporate employees, and other accompanying stakeholder persons. The travel coordinator administers all domestic and international business travel within the constraints of the company travel budget.
Specific duties include:
Support corporate as well as small group travel reservations
Confirms availability and convey tentative itinerary to the respective traveler(s) for approval
Confirm reservations, distributes tickets along with confirmations to the traveler
Research on optimal travel alternatives
Coordinate, supervise, and implement every aspect of travel arrangements for staff, executives, and other approved business traveler(s)
Maintain queues to assure approvals as attained, as well as deadlines are met
Resolve organization travel-related technical conflicts and issues
Research and resolve all incorrect charges for all travel activities
Review travel-associated invoices and statements for accuracy plus codes for Accounts Payable
Compare invoices with travel transactions to validate every charge
Verify group reservation request for correctness against approved travel authorization requests
Identify most suitable as well as best quality service for reasonable and contractually compliant rates
Collect information from travel agents and hotel vendors
Interface with Travel Agencies, Travel Booking Platforms, and other vendors to verify travel details and arrange reservations using existing flight schedule
Setting up and maintaining vendor accounts
Managing visa, passport, and customs situations as required
Act as the primary point of contact for official local, CONUS, and OCONUS travel
Reconcile corporate credit cards and travel expenses reports
Qualifications
A Bachelor’s degree in travel, communication, or hospitality management
Five years of travel management and coordination experience
Two years of experience working with Government Contract (DoD experience is plus)
Demonstrated experience in booking high-volume travel requests
Excellent communication skills (written and verbal) and organizational skills
Demonstrated ability to multi-task in a fast-paced work environment
Ability to be on-call 24/7 for travel emergencies and urgent requests
Exhibit extensive knowledge of policies and the Joint Federal Travel Regulation (JFTR) regarding government travel, including booking with contract fares
