Job Description

  • Provides recommendations to facilitate and/or improve administrative processes;
  • Assists in the preparation of presentations and briefings;
  • Composes business correspondence;
  • Monitors external/internal communications and addresses communications in an expeditious manner;
  • Brings critical issues to the immediate attention of executives;
  • Coordinates meetings, establish agendas, and maintains calendars of executives;
  • Manages incoming and outgoing electronic communications (including telephone, e-mail, and fax);
  • Collects and prepares information for use in discussions/meetings, to include meetings with external stakeholders;
  • Initiates and follows up on high-level contacts of a complex nature inside and outside of the agency;
  • Develops, drafts, writes, and edits reports, briefings, proposals, and other documents in support of client requirements;
  • Interfaces with personnel to coordinate meetings; maintain logs, records, and files; provide end-user support; and perform general administrative duties;
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications;
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel;
  • Welcomes guests and customers by greeting them in person or on the telephone and answering or directing inquiries;
  • Maintains customer confidence and protects operations by keeping information confidential;
  • Prepares reports by collecting and analyzing information;
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions;
  • Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies;
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques; and
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and participating in professional societies.

Qualifications

Required Skills/Qualifications

  • High school diploma
  • At least 5 years of experience performing the duties and responsibilities described above in a related field
  • Excellent communications and interpersonal skills
  • Proficiency with word processing and Microsoft Office applications
  • Ability to prioritize multiple projects simultaneously
  • Ability to schedule and coordinate meetings for senior executives
  • Ability to assist in the preparation of presentations and briefings
  • Ability to coordinate communications for front office
  • U.S. citizenship

Desired Skills/Qualifications

  • Experience supporting FBI customers
  • Thorough knowledge of agency operations, policies, and procedures
