Job Description

Job Purpose:

The Compliance Assistant works closely with the Compliance Manager in ensuring that all federal/state/local Real Estate policies and procedures are being followed and enforced by Compliance staff when maintaining an office and reviewing, auditing and balancing files.

Essential Functions:

  • Assist Compliance Managers/staff in daily processes throughout all locations in Nevada
  • Work closely with Designated Brokers to determine when updated policies/ procedures need to be implemented and train staff
  • Identify opportunities to improve processes and streamline workflow
  • Create updated resources (checklists, written manuals, SOP's) for departmental processes along with ongoing training for staff
  • Communicate effectively with other departments and management about processes/staff
  • Support a well-documented audit schedule for each state and oversee process.
  • Provide added support and coverage when needed
  • Understands, displays, and embraces the company’s “coolture”
  • Other duties as assigned

Has frequent contact and communicates continuously with employees, visitors, and vendors.

Qualifications

Required:

  • High school diploma or equivalent
  • Strong background in file & document review, business processes, technologies and systems that support best-in-class operations including high volume and high availability environments
  • Strong analytical and problem solving skills
  • Good attention to detail is a must
  • Strong interpersonal skills essential
  • Ability to work proactively and autonomously daily
  • Must be detail-oriented, organized and capable of managing tasks on multiple, concurrent projects
  • Must have excellent verbal and written communication skills
  • Must have well-developed interpersonal skills with the ability to establish highly functional relationships with diverse personalities both within and outside the company
  • Proficiency in Microsoft Office, specifically Word, Excel, and PowerPoint
  • Demonstrates ability to work on a team and willingness to give assistant to co-workers in other areas
  • Must be able to travel between the 4 NV offices at a moment’s notice

Desired:

  • 3+ years of Real Estate industry experience is a plus
  • Previous experience as an Assistant to the Compliance Manager
  • Experience with balancing of commissions, Real Estate specific software is a plus

Knowledge/Skills/Abilities:

  • Ability to communicate clearly, professional, and courteously in writing and verbally
  • Strong organization skills with an attention to detail
  • Willingness to “roll up the sleeves” and do what it takes to get the job done
  • Works well on a team and collaborates with others but also be able to work independently.
  • Finger dexterity to operate standard office equipment including telephones, calculators, copiers, and facsimile equipment
  • Ability to effectively manage tasks with minimal supervision
  • Must be diligent and persistent in follow-up and completion
  • Capable of multi-tasking and meeting tight deadlines.
  • Able to function in a fast-paced environment with tight and changing deadlines
  • Strong working knowledge of Windows/Mac operating system-experience.
  • Requires proficiency in Microsoft Office applications
  • Ability to type at a net rate of 35 wpm using a computer keyboard

Additional Information

Physical Demands & Work Environment:

The Compliance Assistant must be able to bend, stoop, stand, and sit for various lengths of time. They must be able to lift and carry items up to 20 lbs. A clear speaking voice is necessary along with the ability to communicate clearly.

This is primarily a sedentary office classification and employees work in an office with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.

Cognitive Demands:

The Compliance Assistant must be able to multi-task various projects in a fast-paced environment with tight deadlines while maintaining a customer-centric, friendly, and professional demeanor.
