Job Description

A receptionist must have basic office skills and display excellent customer service skills. The receptionist is the first contact the customers have with the branch, this person will leave the customer with the “First Impression”.  A receptionist must display all attributes of “Professionalism”: neat, clean, business attire; pleasant and outgoing; reliable and punctual; be able to multi-task; courteous and helpful.

Role and Responsibilities

×           Handle incoming phone calls

×           Meet and greet all customers pleasantly and with a SMILE

×           Open all incoming mail, date stamp and disperse to appropriate parties

×           Open and deliver “Immediately” to the appropriate party all Federal      Express/UPS/special messenger items *Time sensitive items*

×           Handle outgoing mail (apply postage and take to mail drop)

×           Inventory and order office supplies

×           Keep lobby in a professional appearance at all times

×           Process Daily Banking

×           Handle the “storage” files (send and order)

×           Hand write “Thank you” notes, as Requested by Escrow Officers

×           Coordinate all appointments with staff, being prepared to acknowledge customers as they arrive

×           Offer refreshments (coffee, tea, water, etc.) to waiting customers

×           Be willing to learn the basic concept of Escrow to be able to assist office personnel as needed

 

Qualifications

AM DUTIES:

×           Turn off night-line and retrieve all messages and deliver to the appropriate party

×           Make sure that the front lobby is tidy and presentable

×           Start Coffee

×           Load checks and receipts in printer, making sure number sequence is correct

×           Check all office machines (fax, copier, printer) for paper and refill as needed

 

PM DUTIES:

×           Turn on night-line

×           Make sure coffee pot is OFF

×           Unload and Lock up Checks and receipts

×           Make sure all mail and Federal Express packages are out to the appropriate mail receptacles

 

  

REQUIRED QUALIFICATIONS:

A receptionist should be proficient (“error-free”) in the above responsibilities to be ready for advancement the next level as an Escrow Processor.

 

Additional Information

 

Physical Demands & Work Environment:

The Receptionist must be able to bend, stoop, stand, and sit for various lengths of time. They must be able to lift and carry items up to 20 lbs. A clear speaking voice is necessary along with finger dexterity.

 

This is primarily a sedentary office classification and employees work in an office with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. However, a portion of the time the employee will be on the road driving in various weather conditions.

 

Cognitive Demands:
